VA Commercial Repair Solutions is seeking a motivated and detail-oriented Construction Office Admin to join our dynamic team. In this role, you will be responsible for managing day-to-day office operations, coordinating with clients and service technicians, and maintaining accurate client accounts. This position is ideal for someone who thrives in a fast-paced environment and has excellent communication and organizational skills.

- Schedule clients and coordinate jobs with service technicians to ensure timely and efficient service delivery.
- Source and order parts as needed, ensuring they are available for upcoming jobs.
- Compile and manage invoices, ensuring accuracy and timely submission to clients.
- Communicate with clients on job progress, addressing inquiries, and resolving any issues promptly.
- Serve as the primary point of contact for clients, managing day-to-day office operations, including scheduling, correspondence, and administrative tasks.
- Maintain and update client accounts, ensuring records are accurate, complete, and up-to-date.
- Assist in the preparation of reports, presentations, and other documentation as needed.
- Coordinate with various departments to ensure seamless workflow and communication across the organization.
- Support the sales team with client follow-ups, account management tasks, and any additional administrative duties.
- High school diploma or equivalent; Associate's or Bachelor's degree preferred.
- Proven experience in an administrative or account management role, preferably in a construction oriented environment.
- Excellent communication and interpersonal skills, with the ability to build strong client relationships.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Experience in scheduling and coordinating service jobs is a plus.
