About the Job
We are seeking a skilled construction administrative assistant for our busy construction company. They will help us communicate with vendors and clients, work with subcontractors to get bids, manage purchase and change orders, and help us with special projects. Previous experience in the industry is helpful, but not required. The successful applicant will have a few years of administrative support experience, excellent computer and time management skills, and be extremely organized. Responsibilities:- Produce forms such as purchase orders, service agreements, change orders, and subcontracts
- Communicate with vendors and subcontractors as a point of contact to solicit new jobs
- Provide administrative support to the office manager, project manager, general contractor, and other construction management staff
- Answer incoming phone calls and respond to emails in a professional way
- Implement clerical and administrative tasks for special projects, and provide general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies as requested
- Written and verbal communication with staff, contractors, and clients
- Accurate completion of checklists and reports
- Generate work and product orders
- Assist with project planning and scheduling
- Monitor and communicate progress, status, and issues quickly and accurately
- Submit building permit applications and related documentation
- Submit WPS applications and Digger's hotline
- Manage tasks, time, and others well; Meet various day-to-day deadlines
- Assist with administrating our training program
- An understanding of the construction industry is preferred, but not required
- Associate’s or bachelor’s degree is a bonus - high school diploma is required
- Strong computer skills, especially MS Office (Word, Excel, and Powerpoint) are needed
- Excellent time management, organization, and communication skills are needed
- Three years of experience of administrative experience is necessary - previous administrative duties in a busy construction office is desired
- Knowledge of the construction industry is preferred
- Experience with scheduling and ordering is preferred
- Familiarity with project/process management is ideal
- Written and verbal communication skills are vital
- Time management and working well with others are key
- Excellent computer skills, especially Microsoft Office
- Proficient in computer skills, especially MS Office (Word, Excel, and PowerPoint)
- Familiarity with the construction industry is desired, but not required
