Job Summary:
The Construction Administrative Assistant at Pierre Landscape will play a crucial role in supporting our construction department by providing administrative and clerical support to the team. This individual will be responsible for a wide range of tasks, including data entry, scheduling, filing, and communicating with clients and vendors. The ideal candidate will have excellent organizational and communication skills, attention to detail, and the ability to work efficiently in a fast-paced environment.
Compensation & Benefits:
This is a full-time, hourly administrative position with a compensation range of $22 to $26 per hour. The salary will be paid semimonthly. Responsibilities:
- Perform data entry and maintain accurate records of construction project details, client information, and vendor contracts
- Answer and direct phone calls, take messages, and respond to emails and other forms of communication in a timely and professional manner
- Communicate with clients to schedule meetings, discuss project updates, and address any concerns or inquiries
- Coordinate and schedule appointments, meetings, and travel arrangements for the construction team
- Assist with the preparation and distribution of project documentation, including bids, proposals, contracts, and change orders
- Organize, maintain, and file construction documents and reports in both physical and electronic formats
- Collaborate with the accounting department to track and reconcile project expenses and invoices
- Order and maintain office supplies and equipment, as needed
- Other administrative and clerical tasks as assigned by the construction manager or project manager
Requirements:
- High school diploma or equivalent; Bachelor's degree in business administration or a related field is preferred
- Minimum of 2 years of experience in an administrative or clerical role, preferably in the construction or landscaping industry
- Proficient in Microsoft Office suite and other computer applications
- Excellent written and verbal communication skills
- Strong organizational and time management skills with the ability to prioritize and meet deadlines
- Attention to detail and accuracy in data entry and record-keeping
- Proven ability to work independently and as a team player
- Familiarity with construction terminology and procedures is a plus
