The Admin Assistant will support accounts payable functions, including receiving, processing, verifying, and reconciling invoices in accordance with departmental policies and deadlines. This role will ensure that departmental needs are met and will collaborate closely with the Accounting Department and the field Operations team.
Job Description:
- Receive and sort incoming invoices,
- Reconcile discrepancies between invoices and statements, addressing any issues promptly.
- Enter invoice data into the accounting system accurately and efficiently.
- Liaise with vendors, accounting staff, and field operations to resolve invoice-related inquiries and discrepancies.
- Ensure all invoices comply with departmental policies and regulatory requirements.
- Assist in generating reports related to accounts payable activities for management review.
- Maintain organized records of invoices and related documents for audit and reference purposes.
- Support the preparation of payment runs, ensuring timely payments to vendors.
- Provide necessary documentation and support during internal or external audits related to accounts payable.
- Send out payments required with tracking.
- Administrative duties as scheduling.
- Other duties and projects as assigned to support the department goals.
Position Requirements
- Associate degree preferred
- 1 to 3 years of administrative support experience
- Experience with Yardi is a plus
- Strong organizational skills
- Excellent written and verbal communication skills
- Proficient in Microsoft Office
- Fast and accurate data entry skills
- Positive professional attitude in a fast-paced environment
- Self-starter with the ability to work independently and as part of a team
- Ability to prioritize tasks and meet deadlines
