Pay Rate: $35 - $37.50 (Client will consider well qualified candidates with a pay rate above the ideal rate)
Location: 100% REMOTE with Travel ~20%, There are 2 or 3 planned 2-day meetings in which this resource will travel to NY. Client will reimburse Accomodations, Travel, and Per Diem.
Work Hours: 8:30AM-5PM EST
Nice to Haves: Experience with Persons with Developmental Disabilities, Non-Profit Event Coordination and Fundraising (Highly Desired, but not required - Candidates with this experience may be presented with higher rates)
NOTE: This position is grant funded through August 2025 and would extend based on the grant being renewed.
Project: NY State Office of People with Developmental Disabilities Systems Change Project (OPWDD)
Summary: The Conference Planner will work with the Program Director and other relevant program staff to plan 4 in person Leadership Academy training opportunities for individuals in New York associated with OPWDD: 1) 5-day program for up to 50 persons who work for NY State, 2) 4-day program for up to 30 family members of individuals with the lived experience of intellectual and developmental disabilities (IDD), and 3) 2 separate 2.5-day programs for up to 15 individuals with the lived experience of (IDD) and their caregivers.
Tasks:
The Conference Planner will responsible for: coordinating with internal GU staff to finalize pre-conference and day-of tasks; lead site selection and contracting process for all Academies to include hotel negotiations, catering, transportation services, printing, shipping and other relevant services; supports the preparation of agendas, materials and documents/presentations for the Academies; serves as the first point of contact for faculty and participants before and during the conference; coordinating requested accommodations, including low-sight, ASL interpretation, and any physical accommodations; facilitates all travel arrangements for staff and participants; supports budgeting as needed; schedules and leads any pre-conference meetings; meeting with GU staff weekly to provide conference updates and confirm upcoming deadlines. The Conference Planner will also work closely with GU OPWDD staff.
Skills and Technical Qualifications or Specialized Certification:
Experience with program management software (Asana, etc); proficiency in Microsoft Office or Google Suite specifically Excel (sheets), PowerPoint (slides) and Word (docs); proficiency in Adobe; knowledge of 508-compliance;
Academic Level:
BA or some college with a minimum of 3-5 years of conference planning experience; experience with planning and execution of virtual conferences
