Concur System Analyst & Liaison

JOB SUMMARY
This position will be responsible for reviewing and optimizing PPPL Concur travel system, developing and implementing comprehensive audit rules, and serving as a point of contact between PPPL and ADTRAV, PPPL’s contracted travel agency (TMC). Additionally, this role will support travel-related initiatives, maintain relevant documentation, and proactively seek improvement opportunities.
DUTIES
Concur Travel System Review:
o Conduct thorough reviews of the current Concur travel system setup.
o Identify areas for improvement to enhance system efficiency and user experience.
o Ensure the system aligns with PPPL travel policies and compliance requirements.
Audit Rule Development:
o Design and implement audit rules within the Concur system to ensure compliance with travel policies.
o Update audit rules based on policy changes, user feedback, and best practices.
o Monitor and analyze audit reports to identify trends, issues, and areas for improvement.
Liaison Duties:
o Act as the support liaison between PPPL and ADTRAV, facilitating clear and effective communication.
o Coordinate and manage travel-related inquiries, issues, and escalations.
o Work closely with both internal teams and ADTRAV to resolve system issues and enhance service delivery.
Support Travel Initiatives:
o Support all travel-related initiatives, including metrics, measures, trends, and policy.
o Analyze customer contact trends and propose opportunities for process improvement, policy updates, or customer training/awareness.
o Document and deliver "how to" guidance and training around policy compliance, Concur booking tool operations, and expense reporting.
Continuous Improvement:
o Proactively seek system-based and procedure-based strategies to anticipate traveler impacts from real-world events or changes in policies, service providers, or software.
o Propose and implement continuous improvement initiatives to optimize the Concur travel system.
QUALIFICATIONS
Education:
Bachelor's degree in relevant business discipline plus 8 or more years of experience; or master's degree in relevant business discipline plus 4 or more years' experience; or equivalent experience (a minimum of 16 years of experience required to qualify in lieu of relevant degree).
Experience/Skills:
o At least 10 years of experience with Concur system administration
o Experience with DOE National Lab Complex
o Excellent interpersonal and teaming skills; desire to contribute to and advance a high-performing team atmosphere
o Demonstrated exceptional customer service skills, and ability to empathize with customers while delivering compliance requirements.
o Proficient in MS Office and Google Suite - Excel skills with demonstrated analytical skills
o Knowledge consistent with that typically acquired through professional field of study or professional certification, professional business judgement
o Knowledge of auditing standards and techniques; knowledge of audit documentation requirements
o Working knowledge of applicable standards and regulations, such as generally accepted accounting standards, CAS, federal and US Dept of Energy (DOE) acquisition regulations, DOE directives, Federal Travel Regulations, DOE directives and financial policy, and ability to interpret and apply statutory requirements
o Desire to master the subject matter and ability to effectively communicate it to others.
o Demonstrated ability to organize, prioritize, and follow through to completion on multiple tasks, often under strict deadlines, frequent interruptions, and competing priorities.
o Effective listening, interviewing, and investigative skills, and the ability to successfully manage conflict and potentially contentious situations
o Comfort and experience working with all levels of staff and management; experience providing executive briefing material
o Experience booking travel for others
Work Hours:
• Remote, 5-8 hours / week, 6 months
