Job Description
The Communications and Marketing Coordinator will lead BLE's internal and external communication efforts, ensuring consistent branding and effective marketing strategies to promote the firm's services. This role is responsible for managing proposal submissions (RFPs/RFQs), supporting technical staff with project writeups, resumes, and presentations, and overseeing the development of branded materials, press releases, and event planning. The coordinator will also manage vendor relationships, media outreach, and campaign development, while supporting BLE's digital presence through social media, website content, and CRM management. This position requires a creative, detail-oriented professional with strong project management skills and a passion for clear, impactful communication.

Minimum Job Requirements
- Bachelor's degree in marketing, mass communication, journalism, graphic communications, graphic design and/or related field.
- Minimum of 4-7 years' communication and/or marketing experience, with AEC experience preferred.
- Proven history of preparing creative, effective digital and print marketing materials.
- Highly self-motivated and self-directed, with the ability to set deadlines for others and keep personal deadlines.
- Experience working with a diverse group of professionals, while serving as the subsidiary to support marketing and branding efforts.
- Thorough understanding of interactive communications, delivery systems, processes and industry best practices.
- Computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher), and strong expertise in Adobe Creative Suite (InDesign, Illustrator, Acrobat, Photoshop) and use of software such as SurveyMonkey and MailChimp.
- Ability to lead projects from conception to completion. Apply best practices to maximize effectiveness in all communication avenues.

What you will be doing daily
- Preparation and manage the on-time delivery of Responsive Marketing - Request for Proposals (RFQ) and Request for Qualifications (RFQ) in both narrative form and SF330 format to ensure succinct, clear writing support and branding is applied across all deliverables.
- Support technical staff in the preparation of Project Writeups to ensure a healthy list of past experience is available for RFP/RFQ submittals and website, social media efforts.
- Maintain technical staff resumes for use in Responsive marketing products.
- Support technical staff in the preparation of presentations (i.e., PowerPoint) with preparation, graphics, images, and ensuring branding standards are met.
- Creation and ordering of office signage and branded materials by working with vendors to get competitive quotes while building relationships with those vendors/maintaining a productive working relationship.
- Engage in written Press Releases and maintain relationships with industry and local media outlets.
- Support event planning, logistics, etc., to ensure successful internal and external events. Will include trade shows, special events, staff speaking engagements and training sessions, and company events along with the Marketing Associate.
- Produce and provide continual improvement to marketing collateral, presentations, graphics, and other creative materials.
- Promote BLE through the development and management of campaigns, news releases, speaking engagements and special events.
- Build and maintain relationships with other marketing professionals within the AEC industry.
- Manage the relationships with any outside firms that BLE contracts for communication consulting, public relations, marketing, graphic design, photography, print materials, web design, etc.
Supporting the Marketing Associate:
- Assist in the preparation of digital marketing content including social media platforms (i.e., LinkedIn - both in support of individual and company, Facebook, Instagram), web-based, and other marketing methods to brand and communicate with various audiences in coordination with the Marketing Associate.
- Website support - Review and support ongoing content edits and additions to include project description preparation, general content updates, and staff biography updates.
- Assist in the preparation and continuous improvement of trade-show banners, brochures, pull-up banners, and other company branded materials using digital graphics software. This position will also work with vendors to order and ensure timely delivery of these materials in support of BLE staff, as well as maintain an inventory of marketing materials.
- Assist in the management of the company-wide Customer Relationship System to develop, improve, and maintain various client databases (eblasts, Christmas Lists) to support the overall marketing effort along with the Marketing Associate.
- Assist in the routine preparation and implementation of various media blasts describing BLEs services and products via email or other digital media (e.g., Survey Monkey, LinkedIn).
- Assist in the maintenance and tracking of association memberships and events to support Business Development and technical staff.
Project Management:
- Develop and maintain relationships with traditional and digital media providers and publications.
- Develop and maintain a network of vendors providing various print media.
- Prepare and maintain an annual marketing, branding and communication budget.
- Ensure that all communications from and within BLE are integrated and consistent to achieve the most effective results possible.
- Maintain a library of graphics, photography and quotes to be used in marketing efforts.
- Manage membership relationships with BLEs various professional and public Associations.
