This position is located in the College of Education’s Faculty and Staff Services Office / Office of the Dean. The office is the central administrative unit for the college. The functions of the College’s central administrative unit have an effect on the entire college as well as external alumni, donors, and community partners.

Position Summary
The College of Education Business and Operations Specialist (BOS) is a key administrative role within the College of Education’s Faculty and Staff Services Office / Office of the Dean. This position is responsible for the coordination of fiscal-related activities for the entire College of Education, including travel. This position is the primary travel coordinator for the COE and is responsible for unilaterally creating COE policies and procedures related to travel. This position is also solely responsible for the dissemination and communication of travel-related procedures and best practices to COE faculty and staff. In addition to creating internal processes for compliance with local policy and applicable laws and regulations, this position will initiate and complete deposits and payroll-related tasks, along with reviewing and processing travel and expense reports in Concur. The individual in this position is required to interpret laws, rules, policies, and procedures from UO, state, grant agencies, and the UO Foundation and prepare and monitor financial transactions for compliance. This position will also initiate internal COE guidelines as well as communicate policies and procedures to internal and external constituents including faculty, staff, administrators, and vendors.
The BOS will also function as an assistant for the management of grant-related administrative needs for the COE Office of the Dean and research and outreach units in the Office of the Dean’s portfolio. This position is responsible for maintaining policies, processes, and procedures that support timely and accurate pre-and post-award financial management, reporting, and policy compliance. The BOS will work closely with principal investigators to provide administrative support and support the ongoing grant and contract activities taking place in the Faculty and Staff Services Office / Office of the Dean.
This position is expected to complete tasks and projects independently and receives general supervision from the Associate Dean of Finance and Operations with additional direction from the Director of Financial Operations and the Dean’s Leadership Team.
Minimum Requirements
• Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR
• An equivalent combination of training and experience.
•One year of postsecondary education may be substituted for up to one year of the experience.

• Excellent written and interpersonal communication skills.
• Commitment to, experience with, and/or ability to work effectively with students, faculty, and staff from a variety of diverse backgrounds in support of a welcoming and inclusive environment.
• Demonstrated proficiency in Word, Excel, and Outlook (or similar software).
• Ability to work effectively with individuals at all levels of an organization.
• Strong organizational and time management skills including the ability to demonstrate initiative, set priorities, and achieve goals.
• Excellent problem-solving and critical thinking skills and the ability to use independent judgment when making decisions.
Preferred Qualifications
• Three or more years of experience in lead work for operations functions such as procurement, accounting, payroll, accounts payable, account reconciliation, and travel coordination.
• Experience with Banner and Concur for Travel and Procurement.
• Experience with higher education or government accounting.
• Experience interpreting and applying laws, rules, and regulations, preferably in a college or university setting.
