This is a full-time hybrid position in Florida, offering $80,000 - $90,000 salary, Monday - Friday schedule plus benefits inclusive of immediate health/dental/vision coverages, 15 days of vacation, 5 sick days, 401k Plan with company match and more. As the Clinical Operations Manager, you will be a part of day-to-day operations for a multi-physician practice to fulfill programmatic directions and goals. This is a hybrid position for candidates residing in Florida and traveling to sites throughout Florida on a regular basis and as needed 1-2 day at a time (at least 30% of the time). This role will provide support for multiple Skilled Nursing Facilities and reports to the Director of Clinical Operations.

Essential Duties:
- Meet regularly with the operations department to keep open lines of communication between the team.
- Onboarding and training of physicians and mid-level providers including EMR training, client expectations, and company standards.
- Established and maintain a working relationship with physician staff with respect to their compliance and performance related to billing, coding and regulatory agency standards.
- Established and maintains a working relationship with key personnel in partnering Skilled Nursing Facilities to ensure program growth and ensure the program is making positive impact of the Skilled Nursing Facility.
- Gather documentation from EMR to provider to the Skilled Nursing Facilities.
- Participates in monitoring and evaluating a program's inception and performance and routinely monitors performance for volumes, referrals, and trends.
- Work to resolve any missing charges or documentation directly with the provider and escalate to Director of Clinical Operations, as needed.
- Assist in maintaining a provider schedule per Skilled Nursing Facility and communicate changes to the center and team.
- Collaborates and has consistent communication with multiple departments within the organization including Human Resources, Business Development, and Credentialing.
- Data entry and retrieval workflows as applicable. This may also include uploading medical records for purposes of billing and/or compliance.
- Provide remote administrative support as requested by Vice President of Clinical Operations and Director of Clinical Operations.
- Update and maintain daily/weekly reports for effective communication within the organization.
- Assist in managing the CRM software for provider and building updates and reports.
- Bachelor’s degree in healthcare or related fields or 7 years of experience in clinical or administrative roles within the skilled nursing or long-term care setting.
- At least 3 years of leadership experience.
- At least 1 year of customer service experience
- At least 1 year of experience using EHR/EMR
- Proficiency with Microsoft office software suite: Excel (intermediate), Word, Outlook and PowerPoint, and keyboarding speed of at least 40 wpm.
- Proficiency in oral and written business communications in English language to communicate with hospital staff as well as medical providers.
- Fluency in Spanish language is preferred, but not required.
- Proficient organizational skills to handle administrative tasks and to be timely in reaching deadlines and communicating to various stakeholders in advance.
- Proficient analytical skills with strong attention to detail to handle auditing, comparing and cross-checking data between multiple reports in various formats (i.e. Excel, Adobe).
- Ability to maintain patient confidentiality and follow medical office protocols to comply with HIPAA and PHI requirements.
- Proficiency with informational systems to facilitate the use of electronic medical records (EHR/EMR).
- Prior experience or understanding of insurance payors, medical billing and coding systems is preferred.
- Must comply with medical facility safety and vaccination requirements
- Ability to have reliable transportation to/from hospital facilities for meetings
- Ability to keyboard and use computer for extended periods of time
- Ability to sit and/or stand for extended periods of time
- Ability to lift 20 lbs
- Have a private workspace at home with a door to preserve confidentiality.
