We are seeking a reliable and compassionate Clinic Office Associate to join our team at our outpatient addiction clinic in Akron, OH. In this role, you will be the first point of contact for clients, ensuring a welcoming, professional, and confidential environment. Ideal candidates will have excellent communication, customer service, and organizational skills, a strong attention to detail, and a passion for helping individuals in recovery.
DUTIES OF THE POSITION:
The duties of the position include, but are not limited to, the following:
1) Greeting Visitors
· Greeting clients and visitors upon arrival and directing them to the appropriate areas
2) Administrative Support:
· Provides administrative assistance to various departments within the organization, including but not limited to data entry, filing, copying, scanning, and preparing documents reports, presentations, and correspondence as requested.
3) Scheduling Appointments:
· Oversees the clinic’s appointment calendar, schedules patient visits, and coordinates with medical staff.
4) Clinic Communications:
· Manages clinic telephonic and email communications, addresses patient inquiries, and relays messages to the appropriate personnel.
5) Customer Service:
· Provides excellent customer service to internal and external stakeholders, addressing inquiries and resolving issues promptly and professionally.
6) Office Organization:
· Maintains office supplies inventory by assessing inventory levels, anticipating needed supplies, proactively placing and expediting orders for supplies, and verifying receipt of supplies.
7) Records Management:
· Maintaining and updating records (physical and electronic) of employees, customers, and financial transactions as directed.
ADDITIONAL DUTIES:
· Ability to understand, speak, read, write in English.
· Ability to prepare routine reports and correspondence in English.
· Effectively speak before groups of customers or employees.
· Work all hours required to fulfill job duties and responsibilities (including weekends, evenings, and holidays as needed).
· Ability to carry/lift boxes weighing between 10 and 25 pounds.
· Must be able to ascend and descend stairs regularly as part of daily job duties.
· Perform additional duties and responsibilities as assigned by management.
COMPLIANCE RESPONSIBILITIES:
Armada Recovery employees are required to comply all state and federal regulatory and legal requirements. Additionally, all staff members must comply with the Armada Recovery Employee Handbook, any Code of Ethics and all other Armada Recovery policies.
EDUCATIONAL REQUIREMENTS:
· High school diploma
LICENSURE AND CERTIFICATION REQUIREMENTS:

PRIOR EXPERIENCE REQUIRED:
Proven experience as an office support staff or administrative assistant. Previous experience in healthcare or a similar setting is a plus.
SKILLS AND QUALIFICATIONS:
Excellent written and verbal communication skills.
Strong understanding of office administrator responsibilities, systems, and procedures.
Attention to detail and problem-solving skills.
Excellent organizational and time management skills with ability to prioritize workload.
Ability to maintain confidentiality of private, protected health information.
