Lookout Valley Veterinary Clinic, located in Chattanooga, TN, is on the lookout for our next rockstar receptionist! We are known for our commitment to providing high-quality care and personalized service to our clients and their pets. We are seeking a friendly and organized Part-Time Client Service Representative to join our team. This position offers the potential to work approximately 30-32 hours per week, with the opportunity to grow into a full-time role as the clinic continues to expand.
As a Part-Time Client Service Representative, you will be the first point of contact for our clients, delivering exceptional customer service and ensuring a positive experience for everyone who visits our clinic. This role requires excellent communication skills, a strong attention to detail, and a genuine passion for helping pets and their owners. You will handle a variety of administrative tasks, from scheduling appointments to managing client inquiries, while contributing to the smooth operation of the clinic.

Key Responsibilities
Client Interaction:
- Greet clients warmly and professionally upon arrival, ensuring a welcoming atmosphere for pets and their owners.
- Answer phone calls and emails promptly, addressing client inquiries and scheduling appointments with accuracy.
- Provide clients with information about services, treatment plans, and policies, ensuring clear and effective communication.
Administrative Duties:
- Manage appointment scheduling, including coordinating with veterinary staff to optimize clinic flow and efficiency.
- Process client check-ins and check-outs, handling payments and managing financial transactions with precision.
- Maintain and update client and patient records, ensuring that all information is accurate and confidential.
Client Education and Support:
- Educate clients on clinic procedures, preventive care, and follow-up instructions, providing guidance on how to best care for their pets.
- Address and resolve client concerns or complaints with empathy and professionalism, escalating issues to management as needed.
- Support the veterinary team by relaying important information between clients and staff, ensuring smooth communication.
Operational Support:
- Assist with the organization and management of clinic resources, including inventory of office supplies and medical records.
- Ensure the reception area is clean, organized, and stocked with necessary materials, creating a positive environment for clients.
- Collaborate with team members to support the overall functioning of the clinic and enhance the client experience.
Growth and Development:
- Demonstrate a willingness to take on additional responsibilities and learn new skills as the clinic grows.
- Explore opportunities for professional development and career advancement within the clinic, potentially transitioning to a full-time role.
Skills, Knowledge & Expertise to be Successful
Experience:
- Previous experience in a client service role is preferred, with prior experience in a veterinary or medical setting being a strong advantage.
- Familiarity with veterinary terminology and procedures is beneficial but not required.
Skills and Competencies:
- Excellent communication and interpersonal skills, with the ability to interact effectively with clients and team members.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks efficiently.
- Proficiency in using office software and managing appointment scheduling systems. Education and Certification:
- High school diploma or equivalent required.
- Additional education or training in customer service or veterinary administration is a plus.

Part-time position with an average of approximately 30 hours per week. Flexibility to pick up extra shifts and work up to 36-37 hours per week on occasion. Schedule includes weekdays and possibly weekends, with shifts assigned based on clinic needs.
