Position SummaryThe Accounting Administrator is responsible for managing the areas including accounts payable, receivable, time management, company credit cards and billing statements and financial systems training and improvement. This role is responsible for ensuring all areas are processed and documented appropriately and findings or issues are communicated directly to the Finance Manager. Essential Job Duties and Responsibilities Job Duty%Accounts Payable: Lead relationship with parent company AP department to ensure that all disbursements are properly approved and documented, applied to the correct project, and made in a timely and accurate fashion. Coordinate with project managers to complete new vendor setup and independent contractor paperwork.Accounts Receivable: Lead relationship with parent company AR department to ensure that all projects are being invoiced in a timely and accurate fashion and in accordance with respective statements of work. Coordinate with parent company and project managers to ensure that all clients are paying invoices in a timely fashion. Work with project managers to complete new client set up paperwork.Hours Data Management: Collect and compile hour's data from all employees and follow up on un-submitted hours. Provide project managers with summary and detailed hour's reports on a regular cadence and upon request. Make changes to hour's data as directed by project managers.Company Credit Cards and Internal Billing Systems: Coordinate with parent company accounting and sourcing departments to ensure that all transactions billed through company credit cards and other internal systems are appropriate and applied to the proper project and account.Financial Project Management: Support project managers with the vital financial data necessary to effectively and profitably execute projects. Assist in the building and tracking of project cost and hours budgetsSystems Improvement and Training: As a rapidly growing company, it is imperative that we constantly improve the quality, efficiency and effectiveness of our processes. Driving is not an essential duty or function of this job. - Travel up to 0 % Minimum Qualifications The following are the minimum job-related qualifications which an individual needs in order to successfully perform the essential duties and responsibilities of the jobEducation Level: (Required): Associate"s Degree or equivalent experience (Preferred): Bachelor"s Degree or equivalent experience Field of Study/Area of Experience:Minimum of 2 years of experience as a bookkeeper or accountant Skills, Knowledge and AbilitiesOutstanding customer service and communication skills.Ability to work in a fast-paced, creative agency environment.Strong excel skills, bonus points for experience with pivot tables, conditional formulas and large data sets.Attention to detail, data entry accuracy and ability to meet deadlines are must-haves, there is no negotiating this one.An organized and adaptable self-starter who can effectively manage an extensive workload. This requires working both independently and in partnership with colleagues, vendors and clients. Environmental & Physical Requirements Office / Sedentary RequirementsIncumbent must be able to perform the essential functions of the job. Work is performed primarily in an office environment. Typically requires the ability to sit for extended periods of time (66%+ each day), ability to hear the telephone, ability to enter data on a computer and may also require the ability to lift up to 10 pounds.
