Overview
ABI is looking for a clerical savvy person seeking an on-site, in-office position. If this describes you then our Clerical Support Specialist role in Hauppauge is the job for you!
Your responsibilites will be to open and distribute incoming correspondence to the appropriate person or department; expedite assigned work orders; file documents; process outgoing correspondence, and order and maintain office supplies.
This role is a full time positon with a standard work schedule Monday-Friday: 8:30am-5:00pm with some overtime on an as-needed basis.
Compensation is $18-$19/hour, depending on experience.
Responsibilities
- Open and distribute incoming correspondence to the appropriate person or department.
- Process outgoing correspondence.
- Establish and maintain communication with departments to determine time constraints on special instruction orders.
- Expedite assigned work orders and notify order entry of database updates.
- Enter status into the computer system(s), document steps taken in the handling/routing of work orders.
- Route work orders to appropriate departments in a timely manner, as defined by office procedure.
- Order and maintain office supplies at a level to ensure against shortages.
- Receipt and distribution of supplies to the appropriate storage location/department/ individual.
- Filing
- Match incoming vendor invoices with work orders.
- Match records with work orders.
- Bind and mail completed records.
- Assemble work orders packets.
- Scan documents.
- Cross-train in other areas of the office when needed.
Qualifications
- High school graduate and/or GED equivalent. Some college desirable but not required.
- Prior work experience in an office setting preferably in a medical, legal, or an insurance claims office.
- Proficiency at typing; preferred level of at least 45 wpm.
- Ability to effectively prioritize and execute tasks in a high-pressure environment.
- Good telephone etiquette, written, interpersonal and organizational skills.
- Bilingual Spanish/English speaking a plus.
Experience Requirements
- High school graduate and/or GED equivalent. Some college desirable but not required.
- Prior work experience in customer service, a call center, medical, legal, or insurance claims office.
- Excellent telephone communication skills.
- Highly self-motivated and self-directed.
- Ability to effectively prioritize and execute tasks in a high-pressure environment.
- Experience using Microsoft Suite (Outlook, Word, Excel)
- Multi-tasking skills
- Ability to type 35 wpm
