About the Job
Duties:
The Clerical Coordinator maintains clerical organization within the department.
Ensures order entry is accurate and timely, including maintenance of all reports, chart forms, instructions inpatient charts.
Processes orders for tests, procedures, and special requests accurately during down time procedures.
Ensures accurate and timely completion of forms to expedite patient care.
Maintains and updates pertinent patient information on computer systems, EMR, communication venues and with appropriate departments in a timely manner.
Routinely checks and orders supplies, following-up to ensure stock is available to meet the needs of the unit and informing appropriate personnel if items are unattainable. Monitors electronic orders, processes orders (faxing, order entry), expedites STAT orders and notifies nurse.
Greets visitors.
Directs ancillary staff for patient pick up. Is the “Go-To” resource for all physicians, NP’s, PA’s and RN’s. Completes the Census sheet each night at midnight.
Answers the telephone/call light promptly and courteously, relaying messages in a timely manner to the appropriate care giver.
Follows protocol and helps coordinate unit activities during emergency situations.
Notifies nurses when physicians are making rounds on the unit. Ensures appropriate follow-up and resolution of computer equipment used for clinical documentation.
Ensures appropriate follow-up and resolution of issues and care.
Has a thorough understanding of the challenges of their fellow clinicians in using EMR. Is proficient in navigating EMR.
Ensures compliance with usage of the EMR system.
Provides ongoing fi rst-line support for workflow education/review, and troubleshooting, to fellow clinicians even during non-activation times. Performs other duties assigned.
Skills:
Ability to use advanced features of EMR and OnBase which are beyond the abilities of “normal” users required.
Previous hospital experience or documented course work for Clerical Coordinators including knowledge of medical terminology required.
Working knowledge of Microsoft O ce Suite, including Outlook, Word, Excel, and PowerPoint, plus healthcare database systems preferred
Recently employed as a Clerical Coordinator. Student enrolled in ac ve healthcare program such as nursing, physical, occupational, or speech therapy preferred.
Education:
High School Graduate or equivalent preferred
