Overview:
The Clerical Assistant II assists with the day to day administrative and support functions for the Engineering and Information Technologies Division, one of the four academic divisions at Cincinnati State Technical & Community College. The Clerical Assistant II collaborates with other administrative support personnel to ensure smooth operations and optimal service to students, faculty, and visitors. The environment is fast-paced and student-focused. The schedule may vary depending on Divisional needs during peak enrollment periods. The position is a full- time position in which the primary responsibilities are to serve the Engineering & Information Technologies Division.
Essential Duties:- Greeting students and other visitors to the Engineering and Information Technologies Division and scheduling appointments for faculty
- Provide high-quality customer service experience for students and visitors
- Maintain front office appearance
- Answer telephone calls and direct them to the appropriate person or take a message as required
- Monitor and respond to email, voicemail, and text messages
- Schedule appointments and answer general questions
- Assist in maintaining calendars for advisors and faculty
- Maintain general office and copier supplies, and pick up and distribute mail and duplication requests
- Assist faculty and advisors to set up and maintain Outlook and Starfish calendars
- Assist with typing and filling as requested by the supervisor
- Prepare and send routine mailings and correspondence
- Provide clerical support to faculty, program chairs, and cooperative education coordinators
- Work directly with pathway advisors and programs chairs to prepare students for advising and registration
- Perform and track outreach and recruitment activities (phone/test outreach, mailings, emails, etc.)
- Attend program, departmental, divisional, and college meetings
- Attend and contribute to assigned college committees
- Establish annual goals relevant to job expectations and consistent with the goals of the division and college
- Other appropriate duties as assigned
- High School Diploma or equivalent
- 2 years of administrative assistant experience in a professional office setting
- Competency in the Microsoft Office Suite: Outlook, Word, Excel and PowerPoint
- Ability to work in person between the hours of 8:00 a.m.- 4:30 p.m. with flexibility to include opening office as early as 7:30 a.m. or closing the office as late as 6:30 p.m. and occasional evenings/weekends during peak enrollment periods or recruiting events.
- Associate's degree in a relevant field from an accredited college
- Five years administrative assistant experience in higher education especially a community college setting
- Experience with Ellucian Colleague, Starfish, Element, and Microsoft Outlook
- Demonstrates ability for punctuality and reliability
- Self-motivated with well-developed organization and planning skills
- Demonstrates sensitivity to students with diverse academic, socio-economic, cultural, and ethnic backgrounds, and students with disabilities
- Excellent customer service skills
- Ability to handle complex situations with diplomacy
- Adaptable, attention to detail, and resilient under pressure
- Demonstrates excellent organizational skills and written/oral communication skills
- Ability to work effectively individually and as a team player with the ability to build effective and collaborative relationships
- Strong interpersonal skills and the ability to communicate effectively with a diverse professional community and student population
- Ability to use a computer and software used in academic settings
