Job Title: Clerical Assistant
Employment Type: Contract
Work Hours: 37.5-40 hrs./week
Work site: 100% Onsite
Location: 1560 Bruckner Blvd, Bronx, NY
Salary : $23.92-$28.56/hr
Key Responsibilities:
- Scan and convert paper documents to digital copies, ensuring accurate and efficient digitization of records.
- Develop and maintain an effective filing system for both digital and paper documents.
- Prepare, proofread, and edit office documents to ensure accuracy and compliance with company standards.
- Operate and maintain office equipment, including printers, and ensure office supplies are adequately stocked.
- Order supplies and services as needed to support office operations.
- Learn and utilize additional systems such as Oracle, Gas Central, HR Payroll, and other relevant platforms.
- Support Pressure Control with daily functions, primarily focusing on scanning paper records to digital format.
- Input time in HR Payroll as required.
- Complete Work Orders (WOs) in Gas Central and support Pressure Control responsibilities, including ordering permits, coordinating street flaggers and parking savers.
- Manage invoicing and receipts in Oracle.
- Look up assets in ARCFm and Vision systems.
- Perform other various responsibilities as assigned.
Qualifications:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with document scanning and digital filing systems.
- Strong organizational skills with attention to detail.
- Ability to operate and maintain office equipment.
- Willingness to learn and adapt to new systems and technologies.
- Ability to manage multiple tasks and prioritize effectively.
Preferred Qualifications:
- Experience with Oracle, Gas Central, HR Payroll, ARCFm, and Vision systems.
- Previous experience in an administrative or office support role.
- May require occasional lifting of office supplies and equipment.
