Job Overview:
The Project Coordinator operates as an integral player in the financial operations team by organizing project data and assists project managers with the various parts of a project to ensure its success. This includes assigning and monitoring daily tasks and communication, as well as creating reports and updates for the project manager, accounting, and other members of management.
Duties and Responsibilities:
- Assist in coordinating project activities, including scheduling, reporting, material procurement, and subcontractor management
- Input and manage project data in Procore, ensuring accurate and up-to-date information
- Liaising with project manager(s) to identify and define project requirements, scope and objectives
- Assist with project closeout activities, including documentation and final punch list
- Assist project manager(s) to coordinate with clients, subcontractors, and vendors to facilitate project progress
- Gather monthly subcontractor billings and submit to accounting, utilize the same to assist project manager in AMCON monthly billings
- Gather, track and manage lien waivers from subcontractors and large material suppliers monthly.
- Assist project manager(s) to update progress schedules and milestone tracking
- Generate and distribute comprehensive project reports, including:
- progress timeline updates, budget vs actual tracking (spend and hours), safety items, change request logs, and others as directed.
- Support project manager(s) with document control
- Support project manager(s) for site access compliance – employees and subcontractors
- Support the project team in preparing and reviewing project proposals, contracts, and change orders
- Provide general administrative support to the project management team as needed
- Manage project-related paperwork by ensuring all necessary documents are current, properly filed and stored
- Achieve organizational goals while adhering to standards and best practices
- Work with project manager(s) to compile customer progress and AIA billings as directed internally or by contract terms.
- Obtain, track and renew project locates
- Maintain poject folders with, but not limited to
- Notice of Award
- Contract, COI, Bonds
- Subcontractor Compliance Docs
- Specs & Plans
- Meeting reminders, set up, and notes
- Prepare bid packages for submission, in coordination with estimator
- Review documents for submission, add documents as requested, acquire signatures, seals and bonds.
- Work with accounting and estimator to obtain bids
- Maintain estimating/ITB tracker
- Assist Estimator with Vendor/ Sub RFQ’s
- Other duties as assigned.
Requirements
- Three or more years of experience in project coordination
- Experience in coordinating teams and clients
- Proven success in a corporate setting, working with all levels of management
- Strong written, verbal, and presentation skills
- Hands-on experience with project management tools (e.g. Basecamp or Trello)
- Ability to create and manage multiple complex reports consistently
Benefits
The annual base compensation range for this role is between $65,000 and $75,000. The successful candidate's actual base compensation will be based upon a variety of factors, including but not limited to work experience, job-related knowledge, skills, and professional qualifications.
