About the Job
The Chief Operating Officer (COO) plays a critical role in overseeing the day-to-day operations of the organization, ensuring that business strategies are effectively executed. As the bridge between leadership and operational staff, the COO is responsible for optimizing efficiency, managing resources, and aligning operational goals with the organization’s vision and mission. The COO collaborates closely with the CEO to drive growth, streamline processes, and maintain accountability across departments, all while fostering a culture of innovation and continuous improvement. By focusing on operational excellence, the COO helps sustain the organization's long-term success and impact.
DUTIES & RESPONSIBILITIES
- Collaborate with the CEO, other colleagues, and technical staff of funding authorities to periodically review and update plans for data collection and reporting, ensuring full and efficient use of internal data collection and processing and optimal integration with funder-mandated data systems
- Collaborates with the CEO, CFO, HR, board committees, funding authorities, auditors, and consultants to ensure separation of functions, accuracy of financial records, compliance with all record-keeping requirements, and timely response to audit findings
- Lead developmental projects and organizational transformation initiatives, ensuring seamless integration of new systems and processes, while driving efficiency, collaboration, and alignment with organizational goals.
- Ensures Directors and managers execute effective onboarding, training, and supervision of all staff, interns, volunteers, and onsite partners to ensure high-quality, dedicated teams
- Manages directors, senior administrative staff (excludes HR leadership), and CFO, ensuring ACE has skilled staff prepared for program planning and implementation.
- Review program funding proposals, contracts, MOUs, and Master Agreements to ensure technical accuracy and compliance with best practices for optimizing resources
- Oversees senior-level administrative tasks, goal setting, and problem-solving, ensuring effective communication and relationships among stakeholders from diverse backgrounds.
- Ensures timely data collection, reporting, and evaluation of operations, with proficiency in internal and external data systems and statistical analysis.
- Prepare and deliver presentations at staff meetings, board committees and partner organizations
- Ensure proper registration and timely filing of all required documents, compliance with all requirements of authorities responsible for taxation and tax exemption, charities registration, etc
- Represent ACE at conferences and public events, as assigned
- Other duties as assigned

- Extensive knowledge of community-based services, trauma-informed care, workforce development, and program development to address diverse social, economic, and justice impact barriers.
- Comprehensive expertise in nonprofit financial management, including budgeting, grant compliance, fundraising, governance, and sustainability strategies.
- General proficiency in navigating and using technology.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
QUALIFICATIONS:
- Master’s degree in Business Administration, Public Administration or other related studies required plus a minimum of five years of senior-level work experience managing human, financial, and capital resources;
- 5 + years of experience managing government grants and/or contracts;
- Possess a current California Driver’s License, clean DMV record & adequate auto insurance.
- Must submit to a Department of Justice Criminal background check
- Initial TB employment clearance required

The anticipated pay range for candidates who will work in California is $100,000 to $120,000 annually. The offered pay to a successful candidate will be dependent on several factors that may include but are not limited to years of experience within the job, years of experience within the required industry, education, etc.
