Founded in 1946, the Middle East Institute is the oldest Washington-based institution dedicated solely to the study of the Middle East. It is a non-partisan think tank providing expert policy analysis, educational and professional development services, and a hub for engaging with the region"s arts and culture.
The COS will provide executive-level administrative and operational support to MEI's Chief Operating Officer (COO). This role involves coordinating internal and external relations, managing projects, including meeting coordination and scheduling, report and presentation preparation, handling information requests, and performing various administrative tasks. The ideal candidate should be proactive, responsive, self-directed, and possess strong communication skills. Discretion and confidentiality are crucial aspects of this position.
Essential Responsibilities:
The responsibilities include, but are not limited to:
- Provide comprehensive administrative support to the COO, including handling incoming inquiries, responding promptly and professionally, and directing correspondence to the appropriate parties.
- Act as the primary liaison between the executive"s office and other departments within the organization regarding scheduling and reporting matters.
- Interacting effectively with internal staff, board of directors, external senior-level executives, as well as high-ranking elected officials and government executives
- Prepare and compile financial or operational information and documents, including materials necessary for meetings and reports for internal and external stakeholders.
- Manage daily calendars and coordinate meetings, appointments, and travel arrangements for the executive, including scheduling meetings, booking accommodations, and overseeing expense reports to ensure timely communication and efficient planning.
- Facilitate communication between the executive office and various departments, ensuring timely dissemination of information and follow-up on action items.
- Anticipate the needs of the COO, proactively identifying opportunities to streamline processes, improve efficiency, and enhance productivity.
- Performs other duties as assigned or required.
Required Qualifications:
- Bachelor's Degree required.
- Proven experience (5+ years) as a Chief of Staff or in a similar role supporting C-level executives.
- Exceptional organizational skills with the ability to prioritize tasks and manage multiple projects and responsibilities simultaneously.
- Demonstrated ability to maintain the highest level of confidentiality and handle sensitive information with discretion and integrity.
- Strong command of modern technology (MS Office, Google Workspace, Calendly, Zoom etc.)
- Flexibility and adaptability to changing priorities and fast-paced environments.
- Strong attention to detail and accuracy in all work processes is essential.
- Ability to work independently with minimal supervision while functioning effectively as part of a team.
- Ability to interface well with all departments and represent executives in a highly professional manner.
- Demonstrated ability to work autonomously, exercise sound judgment, and plan and execute tasks, including resource identification, data organization, and stakeholder communication.
