Job Summary:
The Executive Assistant to California College of ASU CEO and Dean provides high-level executive support, ensuring the efficient operation of the executive office. The Executive Assistant also serves as a liaison to senior management teams; organizes and coordinates outreach and external relations efforts and oversees special projects. The Executive Assistant will have the ability to exercise decorum, good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills.
Key Responsibilities:
- Independently researches, prioritizes, and follows up on issues and concerns addressed to the CEO/Dean, including those of a sensitive and/or confidential nature; determines appropriate course of action, referral, and/or response.
- Prepares and/or reviews correspondence and speeches for the CEO/Dean, including the preparation of presentations and decks.
- Coordinates the day-to-day activities of the CEO/Dean and oversees the preparation and maintenance of a complex calendar and schedule.
- Prepares financial and budgetary reports for the CEO/Dean.
- Researches, analyzes and assists in developing policies for the College Dean’s Office and the College.
- Coordinates goal setting and strategic planning of divisions reporting to the CEO/Dean.
- Coordinates special internal and external facing events and projects.
- Participates and represents the CEO/Dean on internal and external committees and task forces as directed.
- Provides high level of administrative and logistical support to the CEO/Dean.
- Performs other related duties as assigned.
Qualifications:
Knowledge, Skills and Abilities
- Knowledge and understanding of College organization, goals and objectives, and policies and procedures.
- Demonstrated leadership, decorum, and management skills.
- Knowledge and proficient skill in Microsoft Office Programs, specifically Word, Excel, PowerPoint and other presentation software.
- Strong interpersonal skills and the ability to effectively and professionally communicate, orally and in writing, with a wide range of audiences in a diverse community.
- Excellent organizational and presentation skills.
- Flexible hours as dictated by the needs of business for projects and meetings.
- Ability to interact with departments within the College and to represent the CEO/Dean in a highly professional manner.
- Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
- Ability to read, analyze, and interpret common scientific and technical journals, financial reports and legal documents.
- Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
- Ability to effectively present information to top management, public groups and/or boards of directors.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to work in a multi-ethnic and multi-cultural environment with students, faculty and staff.
Minimum Requirements:
Education/Experience
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
A minimum of twelve (12) years of experience in a Senior Executive Administrative Assistant role, or a Master’s degree in Business Administration or related field and four (4) years of related experience, or a Bachelor’s degree in related field and eight (8) years of related experience.
Location and Salary:
This position will be located at the California College of ASU Campus in Los Angeles, California. The salary range is $70,000 - $89,000 based on experience and qualifications.
Working Conditions:
General office environment. Requires sitting for extended periods of time, standing, visual acumen, manual dexterity and fingering for working with computer keyboards.
