We specialize in: Providing procurement support for our heroes. Helping find the right solutions for the mission includes tactical gear to maintenance & repair items, medical equipment, office supplies, and furniture.
The Position: The role of the Executive Assistant is vital for the success of the CEO of Shore Solutions. This position is responsible to support and assisting the CEO/ President with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
Key Responsibilities:
- Meet with CEO twice a week (Monday 1 hr. – Monday check-in, alignment with goals for the week and Wednesday for 1 hour for task review) as well as check in with CEO periodically throughout the day ranging from 1 to 10 minutes each time, daily.
- Review’s CEO’s inbox for important bids and other business-related and time-sensitive notifications. Respond to emails on behalf of the CEO / Forward emails to the designated internal team member with a couple of sentences and re detailed description for clarity.
- Manages personal projects for CEO relating to estate and family projects and planning, as well as personal doctor appointments and medication to ensure CEO can work efficiently.
- Vistage, SDMAC, DVM, Reading Legacies management.
- Marketing projects – provide feedback, information, edits, and collaborate with our marketing area from the double story on all internal and external marketing projects.
- Write “message from CEO” and create a biweekly newsletter twice a month for the internal team.
- Hold a strong understanding of CEOs' likes and dislikes to efficiently support the CEO with little to no direction on all assigned tasks and requests.
- Handle all business and personal information/plans/decisions with complete discretion.
- Support CEO with all last-minute “911 emergencies” with little or no notice while ensuring to not lose track of what I was working on prior to shifting gears.
- Prepare leadership team quarterly coaching sessions as well as create a coaching sessions spreadsheet for the entire internal team.
- Ensure to keep track of all tasks the CEO asks me to complete via Teams, Text, post-it notes on the desk, Phone Calls, Emails, and In-Person
- Meetings by logging all tasks on NetSuite.
- Collaborate with CEO on business and personal ideas and projects.
- Performs other duties as assigned by the CEO.
- Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing inquiries.
- Maintains customer confidence and protects operations by keeping information confidential.
- Prepares reports by collecting and analyzing information.
- Secures information by completing database backups.
Required Skills and Experience:
- 2+ years of demonstration as Executive Assistant.
- Experience in administration.
- High level of attention to detail and organization skills.

- Strong verbal communication (phone calls).
- Superior attention to detail and follow-up.
Compensation:
$ 20- $22/ hour and depending on experience, plus 100% paid medical benefits, PTO, and Annual Bonus based on performance.
