Position Description
Under direction, the Campus Store Coordinator is responsible for overseeing and coordinating the day-to-day operations of the Campus Store operational activities while ensuring efficiency, effectiveness, and accurate reporting for audit controls. Under general supervision the Campus Store Coordinator will maintain campus store computer system and website; control inventories; coordinate scheduling of student and short-term staff; aid students, staff and faculty and work with other support staff as needs arise; open and close as needed; perform sales accountability.
Responsibilities
Duties may include, but are not limited to the following:
- Coordinate the day-to-day operations of the campus store at the main campus and work closely with offsite centers; provide timely student-centered service for areas assigned such as campus store and general college information, as well as in the collection, accounting, billing, and refunding of sales transaction. Submit work request for maintenance and repairs for campus store locations;
- Manage and implement account procedures and regulations with internal and outside agencies. Audit and reconcile funds; develop, prepare, audit, and maintain accurate and complete records, reports, and files;
- Oversee campus store accounts receivable; coordinate transactions for purchase orders and charge accounts; monitor and resolve cash issues; process encrypted charges for non-returned rentals; research and resolve accounting/bookkeeping discrepancies such as out-of-balance issues, provides support in collecting outstanding payments, etc.; coordinate bank deposit carrier pickup for all campus locations;
- Provide information and assistance to district employees, students, and others where judgment and knowledge of policies, procedures, and regulations related to the Campus Store are required. Investigate and resolve operational issues; develop and implement corrective procedures; train staff on procedures;
- Develop and implement student and short-term worker schedules to ensure effective coverage. Oversee the work of training the cashier and customer service staff. Select, oversee, train, and supervise hourly and student personnel assigned to campus store. Process and review student and short-term worker timesheets;
- Work with the Administrator in planning, scheduling, developing, and implementing new technology and departmental operations with procedures. Prepares meeting minutes and writes procedures as assigned. Assist with ensuring all campuses are following policies and procedures. May assume additional duties in the absence of the Administrator.
- Confer with Information Technology Services personnel to streamline procedures and improve computer applications and processes. Handle campus store technology implementation throughout its full life-cycle at all locations; serve as liaison to internal and external technology partners; maintain hardware and software systems and order related equipment and supplies;
- Develop, implement, and maintain campus store computer system and technology information; develop processes, reports, and procedure documentation; provide technical expertise to staff;
- Maintain campus store website, social media, and phone systems. Edit web pages; creates new links; post information as needed to keep current; respond to questions and problems regarding website; test and monitor website to ensure stability and functionality; resolve routine issues and coordinate resolution of more complex issues with vendor and/or District Information Technology;
- Perform related duties as assigned.
Qualifications
MINIMUM QUALIFICATIONS
- Any combination of education, training, and experience that provides the required knowledge and skills, and abilities.
- Demonstrated experience or education in relevant field (inventory control systems, website technology, etc.).
- Demonstrated evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds in a community college environment.
- Use a personal computer and learn and utilize new software and hardware with a minimum of assistance;
- Analyze technical issues related to the campus store hardware or software. Use technical manuals and explain them to the users;
- Work independently, direct work of others, organize, and schedule workload to meet deadlines;
- Operate register and manage cashier operations as needed;
- Provide leadership to department staff; interact with co-workers, and communicate well with students, faculty, and administrators.

DESIRABLE QUALIFICATIONS- Experience with retail operations.
- Experience in a college setting.
- Competence with point-of-sale (POS) computers and software.

Working hours: Monday - Friday, 7:00am - 4:00pm. Hours may vary according to the assignment.

CONDITIONS OF EMPLOYMENT
This is a full-time, 12-month, classified bargaining unit position. Starting date: as soon as possible. Range 20 of the CSEA Salary Schedule, with a starting salary of Step A, $5,286. Excellent benefit package.Being able and ready to work in-person with Chaffey students, Chaffey employees, or other members of the Chaffey community/Chaffey partners/Chaffey contractors is an essential function of this job.
