Summary
The Site Manager will be accountable to the Program Director for all aspects of physical delivery of the Oxford Royale brand on the campus site, as it is manifested by room and dining facilities, welfare facilities, support offices, classrooms and venues for all program activities.
This is a crucial position to support the Program Director and Assistant Program Director in their management of the overall program, by ensuring those colleagues have the platform to optimise the student experience.
The Site Manager will deal with a wide range of daily participant queries and concerns, supported by one or two Administrators and managing the Welfare Officer.
In this role, the person will:
- represent all of the Company's core values
- take responsibility for any physical and locational elements of the student's campus experience
- ensure that the high expectations of project management, planning, safety, welfare, organisation and general student comfort and enjoyment are met
- work across all physical operational areas to provide support to the Program Director, in the months leading up to the Summer Programs
- take ownership of all delivery stages for their specific college site
- give guidance to all staff on any matters to do with the efficient functioning of campus services and controls
The role involves a high level of responsibility, and requires excellent planning, organisational, communication and managerial skills with extensive suitable experience.
Key Responsibilities
- Provide full administrative support to campus Teaching and Pastoral teams
- Ensure all teachers and students receive timely response to any accommodation issues
- Complete relevant online logs and paperwork relating to registration, welfare and incident logs, medication, incidents and other relevant areas
- Maintain full campus records pursuant to State regulations and venue contractual obligations
- Support the USA Operations Coordinator in monitoring assessments of all program risk
- Support the Site Manager in keeping inventories for all US procurement and campus office supplies
Position Details
- Support the Program Director and Assistant Program Director to deliver academic and enrichment excellence within the Oxford Royale summer programme, physical services and logistics
- Ensure pre-planning and all budgetary commitments and controls are completed before the start of the programme, working closely with the Central US Operations Team
- Deploy excellent background IT skills to manage the Administrators and take ownership of WebAdmin duties, to ensure effective delivery of the day-to-day running of the campus
- Communicate with the Assistant Programme Director and Programme Director throughout the Pre-Summer and Summer School Session phases to ensure excellent delivery in all aspects of the summer program
- Communicate effectively with the University conference office and its managers and understand all obligations, for both parties, set in the OR contract
- Build relationships with, for example, the college housing, facilities, dining and security teams
- Coordinate and act as the first point of contact for all facilities issues, whether brought by students or campus staff
- Liaise and coordinate with Oxford Royale Head Office for logistics and procurement-based resources
- Take ownership of timely supply chains for all uniforms, sundries, course manuals, stored goods and all printed materials and work closely with the US Operations Coordinator and Oxford Royale Head Office
- Respond quickly to maintain excellent standards of response on all student or parental complaints, acting with integrity and asking for support as and when needed from the US Operations Manager
- Provide a duty of care for all staff and students on campus
- Manage the campus budgets
- Lead all health and safety risk assessments and compliance on campus, raising any concerns to Oxford Royale Head Office. Be responsible for all safety drills
- Be honest, approachable, adaptable, resilient, patient, motivated and an excellent communicator to demonstrate that they work with integrity and respect for all
- Maintain an environment and a code of behaviour and discipline which promotes and secures excellent conduct and adherence to all contractual obligations to the host University and to Oxford Royale values
- Understand the expectations of other roles and duties and ensure all administrators are appropriately trained, monitored and supported while maintaining the highest professional standard

- Implement training provided by US Central Operations and support the Program Director, to continually build knowledge and a passion for excellence across all staff
Position Terms
- This role will be based at our summer site in UC Berkeley
- Working hours will be approximately 60 hours per week across 6 days
- The weekly salary range is from $1,500 to $1,700 depending upon experience and assigned responsibilities
- Our courses are for international students aged 15-18 and run in 2-week sessions in July 2024
- Mandatory training and campus set up will take place before student arrivals.
- Meals and accommodation are provided.
Person Specification
- Able to work very closely in support of an academic and enrichment team and effectively deal with all daily unanticipated demands from students on any matters of accommodation and services
- Ability to lead by professional example and delegate effectively
- Inspirational and able to organise and motivate colleagues and service providers
- Confidence in their own authority and have the ability to form productive professional relationships with a wide variety of University support or emergency services
- Friendly and enthusiastic in order to provide a positive customer-responsive environment for staff and students alike
- Highly organised and IT literate
- Able to run tight budgetary controls while driving for the best possible service
- Able to stand up for consistent representation of the OR brand values in any scenario
- Approachable and personable while maintaining authority at all times
- Showing maturity to mentor pastoral staff as well as own direct reports.
Essential Qualifications / Experience
- A substantial management or logistics career or suitable equivalent
- Successful track records in administration, probably internationally
- Exceptional delivery achievements in event management, hospitality or customer-centric services.
Desirable Experience
- Some experience working with children and young people
- Knowledge of the international education industry and how vacation courses operate
- Business achievements in high stress environments.
