Position Summary:
We are seeking an organized and customer-focused Confirmation Manager to oversee and streamline our appointment confirmation processes. This role requires a professional with exceptional attention to detail, communication skills, and the ability to manage a team effectively. The Confirmation Manager ensures that all customer appointments are confirmed efficiently, optimizing schedules while maintaining excellent customer service standards.
Key Responsibilities:
- Team Leadership: Manage and support a team of confirmation specialists, providing coaching and guidance to achieve high performance.
- Appointment Confirmation: Oversee the confirmation of customer appointments, ensuring accuracy, efficiency, and timeliness.
- Scheduling Coordination: Collaborate with internal teams to maintain accurate and optimized appointment schedules.
- Customer Communication: Develop and maintain professional communication protocols to enhance the customer experience.
- Policy Adherence: Ensure compliance with company policies and procedures for appointment confirmation and customer engagement.
- Training and Development: Implement training programs to enhance team skills and maintain high service standards.
- Technology Utilization: Use CRM systems and scheduling tools to manage confirmation processes and monitor performance metrics.
- Problem-Solving: Address scheduling conflicts, cancellations, and other issues proactively and effectively.
- Reporting: Provide regular updates and insights to senior management, including performance metrics and recommendations for process improvement.
Qualifications:
- Proven experience in customer service, scheduling, or a related field, with leadership experience preferred.
- Strong organizational and communication skills with a keen attention to detail.
- Proficiency in CRM systems, scheduling software, and Microsoft Office Suite.
- Ability to thrive in a fast-paced environment while managing multiple priorities.
- High sense of urgency and problem-solving skills.
- Bilingual (English/Spanish) is a plus.
