C Level Executive Assistant
We are seeking a skilled and proactive Executive Assistant to provide high-level administrative support to the executive team. The ideal candidate will be highly organized, detail-oriented, and able to manage multiple tasks with efficiency and professionalism. This role offers the opportunity to work closely with senior leadership and contribute to the success of our organization.
Responsibilities:
- Calendar Management: Manage and prioritize the executive's calendar, scheduling meetings, appointments, and events while ensuring all commitments are met and conflicts are resolved effectively.
- Communication: Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing incoming communications, and responding to inquiries promptly and professionally.
- Travel Coordination: Arrange travel itineraries, including flights, accommodations, and transportation, and prepare detailed travel agendas.
- Meeting Support: Coordinate logistics for meetings, including room bookings, catering, and audio-visual equipment setup, and provide administrative support during meetings as needed.
- Documentation: Prepare and edit documents, reports, presentations, and other materials as required, ensuring accuracy and consistency.
- Expense Management: Manage expense reports, track expenditures, and reconcile credit card statements in a timely manner.
- Information Management: Maintain organized electronic and physical filing systems, ensuring easy access to information and documents.
- Project Support: Assist with special projects and initiatives as assigned, providing research, analysis, and administrative support as required.
- Confidentiality: Handle sensitive and confidential information with discretion and integrity, maintaining the highest standards of confidentiality at all times.
- Relationship Management: Build and maintain positive relationships with team members, clients, and external partners, representing the executive and the organization in a professional and courteous manner.
Qualifications:
- Bachelor's degree in Business Administration, Communications, or a related field preferred.
- Proven experience as an executive assistant or similar role, supporting senior executives in a corporate environment.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Strong communication skills, both written and verbal, with a high level of professionalism and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to work independently with minimal supervision and as part of a team in a fast-paced and demanding environment.
- Discretion and confidentiality in handling sensitive information and matters.
- Flexibility and adaptability to changing priorities and responsibilities.
