Supports the Product Development team with back office business operations with a focus on ensuring consistent stock levels for Center, Villa, and online stores in support of Getty's mission and programs, and to enhance the visitor experience. Additional duties include managing the placement of orders for custom product reorders, maintaining project files and virtual archives, order payments, and reporting.
Major Job Responsibilities:- Works with General Merchandise Manager, Product Development Coordinator, and other members of the Product Development team to maintain ideal stock levels for Center, Villa, and online stores.
- Works with Inventory Planner to determine order quantities, location allocations, and timing of merchandise deliveries.
- Places replenishment orders with suppliers and enters these into the inventory management program.
- Provides updates to Warehouse and Sales Teams on reorder ETAs.
- Performs QC checks of delivered goods upon arrival and provides receiving and allocation instructions to warehouse team.
- Oversees timely invoice payments by credit card, ACH, check, or wire transfer.
- Assists with having new product arrivals added to the Online store by preparing, then entering marketing copy into the inventory management program, coordinating product photography needs/uploading images, and notifying web team when items are ready for export.
- Maintains virtual product archive by uploading digital image assets and entering reference information for new product arrivals to online databank.
- Organizes, updates, and maintains accuracy of all custom project file data- P&Ls, POs, invoices, vendor estimates, etc.
- Reviews Online out-of-stock reports and communicates updates to the web team.
- May be called upon to assist with in-store product merchandising/display setup.
- GED/High School diploma
- Some college preferred and relevant related experience in specialty retail/bookstore
- 2-3 years Assistant Buyer or related support experience in a merchandise environment
- Strong accounting, math, and analytical skills.
- Knowledge of inventory control systems and procedures.
- Proficiency in Microsoft Excel.
- Familiarity with budget management, financial reporting, and sales projections.
- Must be comfortable in a deadline-driven environment.
- Requires high attention to detail, strong time management skills, confident oral and written communication skills, and flexibility to react to the ever-changing needs of a fast-paced business.
