Job Title: Business Support Specialist
Position Overview:
We are seeking two experienced Business Support Specialists for a full-time, temporary position based in Tulsa, OK. This role is ideal for candidates with 1-3 years of business support experience, particularly those familiar with documentation, data management, and project administration. As a key team member, you will assist in compiling, analyzing, and completing various documentation related to residential and commercial service line work orders.
Key Responsibilities:
- Documentation Management: Compile, analyze, reconcile, and ensure the timely and accurate completion of service line work orders, including new, replacement, and retirement projects.
- System Utilization: Enter and verify data using tools such as Job Estimating System (JES), Maximo, Oracle, SharePoint, and Excel.
- Reporting & Communication: Prepare and submit completion reports and supporting documentation. Communicate effectively with Field Operations, Engineering, GIS, and Property Accounting teams to ensure quality control and timely project closure.
- Data Verification & Reconciliation: Ensure all required documentation is complete, including technical drawings, compliance records, and major material data.
- Collaboration: Work closely with internal teams to resolve discrepancies and ensure seamless documentation processing.
Position Requirements:
- Education: Associate's Degree in Business Administration, related field, or equivalent combination of education and experience.
- Experience: 1-3 years of experience in business support, with a focus on reviewing project documentation or contractor invoices.
- Technical Skills: Proficiency with office software (Excel, SharePoint, etc.) and project management tools (Maximo, Oracle, etc.). Experience using construction documentation systems is a plus.
- Communication: Strong written and verbal communication skills, with the ability to interact effectively with both internal teams and external stakeholders.
- Attention to Detail: Ability to manage and maintain accurate records, ensuring documentation is complete and compliant with project requirements.
