Job Description
NREL is seeking a business support professional (BSP) to assist a diverse group of scientists and the Chief of Staff in the Materials, Chemical and Computational Science (MCCS) Directorate (https://www.nrel.gov/research/mcst.html). This position will report to the Associate Laboratory Director but will primarily support the MCCS Chief of Staff, the Postdoc Liaison, and select Senior Research Fellows and Senior Research Advisors.
The career opportunity involves both routine business support assignments and non-routine or special assignments. Tasks include managing documentation flow, assisting or executing staff travel arrangements, managing purchases, assisting with the publication process, supporting meetings, workshops, visitor tours and large-scale events (including scheduling, room set-up, site access, security arrangements, webinars, catering, audio visual set-up, meeting materials, etc.). The BSP will also support the development of spreadsheets and other financial documents, and should be comfortable using multiple online electronic systems for finance, purchasing, travel, etc.
The position requires a willingness to work as a team with other business support professionals, as well as assist lab-wide when needed. The position requires attention to detail, diplomacy, and the ability to juggle multiple projects at once. Confidentiality, diplomacy, and a respect for protocol are needed for this position. The incumbent shall develop and maintain administrative, financial and record systems, and execute business support functions with some oversight, but at times will be required to execute tasks on their own with minimal supervision. The position will require working routinely with management. Intermediate to advanced knowledge of _Microsoft Office Suite_ , including _Word, Excel, PowerPoint, Teams, OneNote, SharePoint_ and _Outlook_ are required. Other frequently used electronic software programs include _Adobe_ , _Microsoft Forms,_ _Oracle_ for accounting and purchasing, _Workday_ for personnel functions, and _Concur_ for travel and finance. Ideal candidates must be proficient with these programs or show a willingness to learn.
PRINCIPAL DUTIES & RESPONSIBILITIES:
+ Provide primary administrative support to MCCS Chief of Staff, the Postdoc Liaison, and some of the Senior Research Fellows and Senior Research Advisors in the MCCS Directorate.
+ Coordinate logistics for management team and leadership team meetings, and special projects for the chief of staff.
+ Assist Chief of Staff with planning the annual Technical Review Panel.
+ Execute administrative functions with minimal oversight, including sending meeting invitations, room reservations, catering, transportation, domestic and foreign visitor access as well as travel approval and expense processing for TRP members.
+ Timely, accurate, and effective administrative support for the programmatic, business, and operational functions.
+ Work closely with other MCCS Business Support Professionals to provide and receive feedback for better team support, share knowledge about navigating NREL’s policies and business systems, provide input and recommendations on organization-specific administrative practices, maintain shared documents and templates, and work cooperatively on applicable tasks, activities, and events.
+ Proactively coordinate and/or monitor multiple tasks and information for individuals, groups, and oneself. Typical tasks include managing calendars/scheduling, travel requirements, meeting and workshop logistics, catering arrangements, onboarding new staff, email distribution lists and access to shared file locations, hiring/contracting requirements, purchases, expense reimbursement, visitors/vendors, office supply inventory, hard copy and electronic files and records, mail/mailboxes, training requirements, safety inspection processes, correspondence, and information flow. This may include:
+ Engaging in new worker onboarding process by entering new hiring Requisitions into Workday (HR Human Capital Management system), coordinating initial interview processes with external candidates and the interview panel, and processing e-paperwork for new workers.
+ Keeping Workday up to date by initiating existing worker extensions and terminations as directed by Group Manager(s).
+ General lab and office supplies, and large-value items using a Purchase Card and iExpense (Oracle E-Business Suite), ASIQ (Purchase Requisition financial tracking system), and other NREL systems.
+ Processing travel requests and expense reports in Concur (travel approval and expense tracking system).
+ Keeping staff informed of upcoming events, training opportunities, accomplishments, recognitions, and celebrations.
+ Assist staff in preparing and/or facilitating the submission of publications, reports, presentations, and proposals. Material may be developed from rough notes, drafts, modified standard formats, brief oral outline, or other means. This may also include:
+ Submitting and tracking publication entries in Publication Tracker database.
+ Helping plan organizational meetings, creating applicable agendas and presentation slides, and taking/distribution meeting notes.

The National Renewable Energy Laboratory (NREL) is a leader in the U.S. Department of Energy’s effort to secure an environmentally and economically sustainable energy future. With locations in Golden and Boulder, Colorado, and a satellite office in Washington, D.C., NREL is the primary laboratory for research, development, and deployment of renewable energy technologies in the United States.
NREL is subject to Department of Energy (DOE) access restrictions. All candidates must be authorized to access the facility per DOE rules and guidance within a reasonable time frame for the specified position in order to be considered for an interview. DOE rules for site access during the interview process are the same regardless of whether the candidate is interviewed on-site, off-site, or via telephone or videoconference. Additionally, DOE contractor employees are prohibited from participating in certain Foreign Government Talent Recruitment Programs (FGTRPs). If a candidate is currently participating in an FGTRP, they will be required to disclose their participation after receiving an offer of employment and may be required to disengage from participation in the FGTRP prior to commencing employment.
