A Day in the Life of a Business Operations Administrator
As a Business Operations Administrator, you will play a vital role in overseeing and coordinating various administrative tasks and operational processes within the company. Your primary focus will be on partnering with operations teams to streamline internal processes and ensure consistent communication across all business units. This position requires you to manage key business operations, coordinate with the finance team, and handle the lifecycle of claim/job processes from initiation to closure. You will also be responsible for tasks like submitting vendor invoices, entering purchase orders into systems such as BOLT/CLAIMTRAK, and participating in production meetings to update job and budget information.
Key Responsibilities
- Collaborate with operations teams to improve internal processes and maintain consistency across business units
- Manage the full lifecycle of claims and job processes, from initiation to closure, ensuring timely file handling and updates
- Partner with the finance team on vendor invoices, purchase orders, and job budgets, ensuring accuracy and timely reconciliation
- Participate in production meetings for project updates and job progress, and manage job setup in systems
- Set up new vendors, process invoices, and handle payments, ensuring proper documentation and communication with vendors
- Assist with collections and manage third-party administrators (TPAs) and portals
Qualifications
- Minimum of 1 year experience in a fast-paced administrative role with proficiency in Excel, PowerPoint, and job management systems
- Excellent organizational, problem-solving, and communication skills and the ability handle multiple priorities
- Ability to compile, analyze and extract data from a variety of sources
- Ability to work autonomously while being a strong team player
- Knowledge of the insurance restoration industry and experience with project tracking software preferred
- Travel may be required
