Job Title: Business Office Manager – Home Health & Hospice
Position Summary:
The Business Office Manager is responsible for managing the day-to-day administrative operations, financial processes, and office staff to ensure the efficient functioning of the agency. This role supports compliance with healthcare regulations and provides administrative support to clinical staff while maintaining the agency’s financial health.
Key Responsibilities:
Financial Management:
Oversee billing and collections processes, including Medicare/Medicaid, private insurance, and patient payments.
Ensure timely submission of claims and proper documentation.
Manage accounts payable/receivable and general ledger entries.
Monitor cash flow and assist with budgeting and financial forecasting.
Administrative Oversight:
Supervise office staff, including administrative assistants and billing personnel.
Maintain patient records and ensure proper documentation for compliance.
Manage office supply inventory and procurement.
Ensure smooth operation of office equipment and technology.
Compliance and Regulation:
Ensure compliance with federal, state, and local regulations, including HIPAA.
Coordinate audits and reviews, preparing necessary documentation.
Maintain accurate records for licensing and certifications.
Human Resources Support:
Assist with recruiting, onboarding, and training office personnel.
Maintain employee records, process payroll, and handle benefits administration.
Communication & Coordination:
Act as a liaison between office staff, clinical staff, and management.
Provide reports to senior leadership on financial performance and administrative activities.
Handle patient and family inquiries regarding billing and services.
Technology & EHR Management:
Oversee the maintenance and updating of the Electronic Health Records (EHR) system.
Train staff on the use of office software and ensure adherence to technology policies.
Qualifications:
Bachelor’s degree in business administration, healthcare administration, or related field (preferred).
Minimum of 3-5 years of office management experience, ideally in a healthcare setting.
Knowledge of Medicare/Medicaid billing, Home Health, and Hospice regulations.
Strong leadership, communication, and organizational skills.
Proficiency in accounting software, EHR systems (such as Careficient), and Microsoft Office Suite.
