The Opportunity / Job Summary
The Business Manager & Controller, manages and administers the school's business functions including: the annual budget, accounting, risk management/insurance, asset management, business office support staff, banking, tuition collection and financial aid program, and works with school leadership on salaries and benefits. The Business Manager works with the Head of School and Finance Team to ensure that expenses are in line with projected revenue.This position description is designed to outline primary duties, qualifications, and job scope but not to limit the incumbent nor the organization to adjust the work identified.
Essential Duties & Responsibilities
In addition to embracing Pacifica's mission, supporting its Head and leadership, and representing the school at professional and public forums, the Business Manager & Controller has a number of primary responsibilities:
Financial Areas of Emphasis:
- ● Establish financial and capital strategies that are consistent with strategic priorities.
- ● Oversee all business office functions including all financial reporting to the Head of School, Board of Trustees, and various committees. This includes, managing the work of the schoolbusiness office personnel and the use of standard accounting and bookkeeping procedures, to keep an accurate continuous record of the cash and financial position of the school and manage the financial operation of the school so that the institution remains financially stable. This work includes:
- ○ Manage the cash flow of the school, payroll, retirement accounts, and any other school-supported financial service and supervise accounts payable and accounts receivable.
- ○ Process payroll and generate regular payroll reports to reconcile payroll.
- ○ Supervise tuition billing and collection.
- ○ Manage school funds to ensure it follows the investment policies of the board.
- ○ Oversee the insurance products of the school.
- ○ Prepare financial records for an annual independent audit, Form 990, and otherstate and federal forms.
- ○ Maintain compliance with all federal and state financial regulatory and reportingrequirements.
- ○ Review bank reconciliations, general ledger entries, and monthly closingprocedures.
- ● To oversee all school purchasing, financial investments, banking activities, payroll andhealth insurance premiums.
- ● Collaborate with and assist the Head of School and the board of trustees in meetingfiduciary responsibilities and prepare monthly financial reports for the head of school and the board of Trustees.
- ● To establish a plan and schedule for the preparation of the annual budget that will permit the setting of the succeeding year's tuition at a Board of Trustees meeting early in the calendar year.
- ● Build and/or maintain the school's short- and long-term strategic financial models.
- ● Oversee the administration of the school's endowment.
- ● Maintain strong relationships with banks and lenders to ensure that funding is secured forthe needs of the school and compliance with loan terms.
- ● Collaborate effectively with Advancement, Enrollment Management, and other departments.
- ● Develop and oversee financial policies, procedures, and internal controls to safeguardassets, protect confidential information, and ensure accurate financial reporting.
