About the Job
The purpose of this position is to open new clients and new files for new matters assigned to the firm for both law firm and real estate matters. Conducting conflict audits is a part of this position to better process all clients and files coming to the firm. This also includes handling file maintenance and updates to information in the Aderant system in a manner consistent with firm policies, procedures, quality, standards, customer needs and applicable local, state, and federal regulations.
Position Summary
The position is responsible for conducting accurate and timely conflicts checks and opening new clients / new matters assigned to the firm in the Aderant system. This includes making updates to information in Aderant as needed. The position requires a strong understanding of all aspects of information collected during the file intake process, the ability to analyze the accuracy and adequacy of information supplied, the use of discretion to follow up for additional or missing information and ensuring accurate information is entered in Aderant in a timely fashion. The position requires daily professional interactions with attorneys and other administrative staff throughout the firm.
Experience/Education:
2-5 years of related work experience required which will reflect pay. Pay also reflects based on the market in which the person will sit.

- Evaluate information secured during the intake process to ensure accuracy and adequacy prior to opening a matter in Aderant.
- Professional and prompt follow up with attorneys and administrative staff for additional information or for clarity of information as needed.
- Ensure the consistent entry of accurate information, including the application of accurate rate sets, in Aderant during the intake process consistent with firm protocols.
- Conduct timely and accurate conflict searches in accordance with firm policies and procedures
- Conduct timely and accurate opening of matters upon submission of appropriate information to the Business Intake Group.
- Address requests that come to the New File Requests and Aderant File Maintenance Outlook groups.
- Contribute to the maintenance and updating of information in Aderant as needed.
- Assist in the intake process during the onboarding of new attorneys to the firm or the transfer of new business to the firm unrelated to onboarding.
- Appreciate and understand the impact that the work of the Business Intake Department has on other departments and the firm overall
- Receive cross training and assist other departments as needed.
- Assist with special projects and assignments as needed.
- Completion of reports on a daily, weekly, monthly or as needed basis.
