Purpose:
We are seeking an experienced Executive Assistant at our North American Headquarters in Princeton to support our Biologics, NA Self Care and Business Development Senior Leadership Team (hybrid). If you get energized by contributing to the success of the business; and want to be mentored by experienced pharmaceutical business leaders, this is an excellent career opportunity for you. This will be a temporary assignment for 3-6 months with a strong likelihood of conversion.
Responsibilities:
Maintains high-volume calendars and daily schedules.
Formats, designs, and edits documents and presentations - some from scratch - using Microsoft Word, PowerPoint, and Excel.
Builds relationships with key stakeholders, including site leadership and functional leads for North America.
Supports customer meetings including scheduling, event planning, correspondence, etc.
Manages executive travel including changes to travel schedule.
Serve as a support system for business partners / executives visiting our offices.
Manages expenses, invoices, etc. developing a proficiency in the expense management system.
Assists in contract execution, maintain SOWs, MSAs, etc.
Addresses conflicts or critical issues in a timely manner, communicating with all involved.
Serve as a member of Employee Engagement team.
Coordinates event catering as needed.
Manage highly confidential information.
Create, modify, and proofread correspondence, reports, and presentations.
Other duties as assigned.
Qualifications / Skills:
Bachelors degree preferred.
Minimum 2-4 years of experience in an administrative role.
Excellent communication (written and verbal) skills.
Proficient in MS Office (Excel, Word, Teams).
Able to work in a fast-paced environment.
Strong attention to detail.
Ability to maintain confidentiality.
Assist projects as assigned.
Proactive and ability to multitask.
Must be a U.S. citizen or lawful permanent resident of U.S. or otherwise authorized to work in the U.S. without requiring sponsorship now or in the future.
