GENERAL PURPOSE:
Serves as an administrative agent of Learning and Development
**SPECIFIC RESPONSIBILITIES:**
Oversees administrative procedures for Learning and Development with a focus on educational support operations for the University of Rochester, University of Rochester Medical Center and UR Medicine Clinical Enterprise
Senior Director Support: (30%)
Supports Calendar and Meeting Coordination for Direct Supervisor, the Sr. Director of Learning and Development for the University, University of Rochester Medical Center, and UR Medicine
Financial Management/Administration: (50%)
Directs and coordinates multiple department budgets, analyzes utilization, ongoing budget reconciliation, provides reports and follow
up on variances. Coordinates budget expenditures and funding requests, monthly reporting and reconciliation of all department FAOs.
Create, Process and Maintain all In-house Dept Invoices and Payments for all education and training provided by Learning and Development Staff.
Manages and coordinates all contracts for educational goods and services; Maintains vendor relations, preparing renewals and budget forecasting. Provides oversight and manages billing, negotiations and payment for multiple vendor contracts, agreements and subscriptions for Learning and Development.
Assists in determining capital needs and makes allocations within the department or project. Initiates or authorizes orders for space, equipment, supplies and services. Recommends the purchase or repair of major equipment. Maintains liaison with respect to maintenance, custodial, purchasing and other central services.
Office Operations: (20%)
Coordinates Learning and Development recruitment and orientation and activities for department staff including time management activities. Oversight for Office Operations for Learning and Development/ CNPD Administrative Office with support for 45+ employees, including Onboarding, screening new applicants and program support for several service lines. Oversight for HRMS Management of payroll/timecard reporting and approvals.
Coordinates recruitment, hiring, onboarding, and management of office support staff. Develops and establishes procedures and schedules to meet operation needs. Initiates and conducts related personnel actions. Provides supervisor and oversight of Secretary IV position in additional to support operations staff.
Coordinates the operations of the department including compliance and regulatory issues, orientation, mentoring, continuing education and annual evaluations
Performs other related duties as required.
**REQUIREMENTS:**
Graduation from college or an equivalent combination of experience and training. 3 years of related work experience including at least l year in an administrative capacity in an academic office or project management, or the equivalent experience in business.

**Pay Range**
Pay Range: $23.80 - $33.32 Hourly
_The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._
