GENERAL PURPOSE:
Under general direction of the Senior Program Administrator for the Department of Medicine, and with latitude for independent judgment this position provides comprehensive administrative support services for the Medicine Division’s clinical, research, and teaching programs. Specific areas of responsibility include human resources administration and financial reporting support to the Department of Medicine’s Finance and Administration team and the 14 Divisions within the Department of Medicine. Functions as Division liaison and representative in interactions with Department of Medicine, Human Resources, URMFG Finance, SMH Finance, SMD Finance, Procurement, and Accounting. This role will focus on efficient and effective business processes for the HRMS, Workday, Fixed Asset, and PCard Systems. Identifies opportunities for improvement in Divisional processes; recommends changes in Division policies and procedures. The monthly support includes managing a high volume of Personnel Action Forms to be processed for faculty and staff, along with timely financial reports that are essential for strategic budget management.
**RESPONSIBILITIES:**
**Human Resource Administration**
+ Facilitates and directs the Division’s faculty and staff on all aspects of human resource administration including hiring, performance evaluation processes, wage and salary adjustments, timekeeping, and Personnel Action Forms. Provides human resource leadership in conjunction with other members of the leadership team through the planning and execution of strategies that enhance culture and employee engagement. Serves as the Department of Medicine Administration Division timekeeper. Functions as a Super User for My URHR and provide leadership to the Division’s as needed.
+ HRMS Personnel Action Form Administration
+ Oversees and initiates Personnel Action Forms based on Divisional requests, validates key HR and financial/budget data, obtains required approvals, and submits approved forms to appropriate financial teams. Manages the Department’s centralized HRMS Med e-PAF email. Provides leadership for communicating and planning PAF deadlines to promote efficient processes and timely payments. Tracks FTE’s via PAFs, Budget Modification Forms, and Manpower Reports, and resolves discrepancies as needed.
**Financial Assistant**
+ Oversees and generates standard monthly financial reports for each division. Partners with the Sr Financial Analyst with researching and tracking budget variances. Serves as the Department liaison for Workday access and roles. Serves as Department liaison for Procurement and P Card access and roles. Compiles monthly GL reconciliations for Medicine Admin division (30+ FAO’s). Generate the monthly SMH Attestation workbook for review and approval.
**Miscellaneous**
+ Manages and coordinates and consolidates annual review of SMH Fixed Asset Inventories and the Space and Equipment annual survey.
+ Provides planning and organizing assistance for the Department of Medicine’s Senior Administration Group’s monthly meetings and events.
+ Disseminates various reports to Divisions as needed, including malpractice invoice data and SMH Manpower Reports.
+ Responsible for the Department of Medicine Department/Scientific Review Process (SRF) for Institutional Review Board (IRB) – As reviews are submitted, this individual would help to ensure that the Division Chief, or designee completes the scientific review form (SRF), obtains signature of Vice Chair and then submits for ancillary review.
**QUALIFICATIONS:**
+ At least a Bachelor's degree in a relevant field, such as but not limited to business or health administration preferred.
+ 5 years of relevant experience, including at least 2 with generating Excel Reports, or equivalent combination of education and experience required.
**Preferred:**
+ Excellent written and verbal communication skills
+ Hands on experience with Excel
+ Knowledge of process and quality improvement methodologies/tools.
+ Ability to constructively challenge established ways of doing things and lead change.
+ Ability to analyze, understand, and utilize operational, clinical, and financial data.
+ Ability to establish and maintain cooperative working relationships with individuals at all levels of the organization.

**Pay Range**
Pay Range: $23.80 - $33.32 Hourly
_The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._
