Job Description Summary

With close supervision, administer all financial and administrative operations for Penn Dental Medicine. Work independently to manage, process, monitor and analyze revenue and expense transactions, purchasing card journals, weekly and monthly payroll and personnel activities, budget and forecast preparation and submission, expense reports and assets and work space updates. The incumbent will also manage and administer grants and contracts, monitors budgets, submits financial reports to corporate partners and funding agencies. Will generate monthly reports using Ben Financials or other financial systems and conduct monthly reconciliations. Ensure compliance of daily, monthly and annual financial policies and procedures, and meet all reporting requirements.

Job Responsibilities



+ Serve as initial default reviewer of all travel and entertainment (TEM) expense reports. Verify appropriateness of expenses and review attached receipts for compliance with University and PDM policies. Serve as subject matter expert for departmental delegates/travelers in Concur and TEM system. Verify PDA forms and non-Penn employee travel reimbursements in preparation of submission. Process purchasing card transactions for PDM's cardholders on a weekly basis to verify appropriate documentation has been received. Verify appropriateness of purchase in accordance with University buying policies (Commodity Matrix), attached required receipts and budgetary approvals. As transaction reviewer, submit corresponding journal entries to identified budget code, meeting established weekly deadline with General Ledger. Serve as liaison with University Purchasing Card Administrator to insure compliance with University policies.


+ Provide financial support for a set number of departments/ divisions. This includes purchasing, travel and expense activity, and journal entries.


+ Monitor/reconcile monthly financial exception reports-suspense and wayward; submit correcting journals as needed. Reconcile internal transaction log activity with BEN Financials reports. Produce monthly uniform financial reports. Maintain organized structure in shared drive repository for business administrator retrieval


+ Will assist with the development of proposal preparation, including budget preparation for grant submissions.


+ Work closely with senior management to develop and administer annual operating budgets as well as ongoing management of endowments, gifts, residuals, etc. Will be responsible for the management of accounts for a set number of service lines/ departments and provide reports as needed to faculty directors and senior management.


+ Will be involved in all areas of payroll and HR. Assist in creating job postings, recruitment, hiring of new staff. Responsible for on-boarding of all new staff. Assist grants managers with creating and monitoring distributions for staff.


+ Other duties as assigned

+ Associate's Degree or Two Year College with 2-3 years of related experience or equivalent combination of education and experience is required
