Position Summary
Our Account Coordinator will manage the day-to-day operations for the sales team, building, booking and tracking shipments through payment to carrier and collection from customer. This position is expected to assist with the day-to-day accounting functions for the freight sales team to quick and accurate accounts payable and receivable operations are being executed.
Essential Duties and Responsibilities

Post all day-of and next business day’s uncovered shipments on both DAT and Truckstop and refresh post every hour until covered

Answer inbound calls on posted shipments and cover shipments within target rates with approved carriers who can meet load requirements

Collaborate with Sales Team Leader/s on uncovered shipments that are within three hours of pickup cutoff, or sooner, to either decide what rate we’re going to have to pay to cover shipment or communicate to customer about potentially pushing scheduled pickup date

Track all shipments on assigned Sales Team, adding detailed notes for each “touch” (touch = any call/email to carrier, even if unanswered) in Turvo.

All shipments should have at least two tracking location updates per day

Day-of pickups and deliveries should have a tracking update within two hours of scheduled pickup/delivery

All tracking updates should be communicated directly to customer

Work closely with the sales and ops teams to make sure all carriers are paid in a timely manner and customers are meeting established payment terms.

Handle movement of payments from our internal TMS, Turvo, to financial system, Net Suite, to record payments as necessary.

Respond to all of assigned customers’ emails within 10 minutes of receiving. Escalate to Salesperson or Sales Team Leader when necessary.

Point of contact for all external and internal AP & AR questions and communications regarding carriers and customers.

Collect and process proof of delivery documents and invoices for payment within 48hrs of confirmed delivery, identifying/correcting differences from TMS system and resolving any issues/discrepancies.

Own operational problems throughout the day, carrier or customer. Resolve as quickly as possible and escalate to Sales Team Leader/s when necessary.

Confirm all loads are built correctly in TMS (load requirements, shipping times, etc). Escalate incorrectly built loads to Sales Team Leader/s to address with who built.
Minimum Qualifications (Knowledge, Skills, and Abilities)

Bachelor’s Degree preferred.

Accounting experience preferred.

Demonstrated ability to be self motivated.

Demonstrated strong communication skills and customer service skills.

Demonstrated problem solving ability.
