This role is the local champion of the company’s administrative system to ensure processes run smoothly and according to the procedures set in place by senior management. The Branch Administrator works in conjunction with the Installation Manager and the Sales Manager to ensure that all jobs sold meet the scope of work criteria the company has established, every job is completed within appropriate cycle times, and the administrative documentation of each job is completed in compliance with company policies. As the primary support for branch staff, the Branch Administrator will oversee administrative functions, coordinate office activities, and contribute to a positive workplace culture.
Administrative Operations
- Oversee all administrative activities to ensure efficient branch operations.
- Ensure that every job meets the scope of work criteria the company has established, and work with local team to resolve any deficiencies, inaccuracies, or other issues before the job is processed.
- Developing, improving, and reviewing administrative systems and policies.
Project Support
- Participate in daily backlog reviews with team to validate each job status; identify action plans for resolution and monitor completion of tasks by local team.
- Maintain open communication with operations and sales teams on their daily progress.
- Review each project as sold to determine administrative requirements, i.e. HOA, permit, etc.
- Maintain accurate daily logs of customer communication in company’s CRM for each project, including verbal, written, and electronic interactions.
- Assist with administrative aspects of the installation schedule, including communication with installers & subcontractors, updating project status in company CRM, finalizing installer compensation submittals, etc.
Managing Teams
- Overseeing and facilitating effective communication within the branch and with corporate services/other branches.
- Act as the point of contact for employee inquiries and provide guidance on company policies and procedures; ensure inquiries are appropriately resolved by local leadership and/or corporate services.
- Supervise nonmanagerial administrative staff.
- Support hiring, training, and evaluation processes for employees who have administrative roles.
Financial and Reporting Support
- Ensure funds are collected from customers at measure and upon completion of installation; communicate finance status to stakeholders and keep accurate records of financial transactions in company systems.
Facilities Management
- Oversee the maintenance of office spaces to ensure a clean, safe, and welcoming environment.
Customer and Vendor Relations
- Serve as main Point of Contact at branch for customers for all matters; promptly manage escalated customer concerns and follow-up with customers to ensure satisfaction with their experience.
Technology and Innovation
- Identify and provide feedback to leadership team on technology solutions to improve administrative functions.
