JOB TITLE: Bookkeeper/Administrative Assistant
LOCATION: 654 Metacom Ave, Warren RI
HOURS: 35- 40 hours per week - 1st Shift
Job Summary: We are seeking a versatile individual to fill the combined role of Administrative Assistant & Bookkeeper. This position requires meticulous attention to detail, exceptional organizational skills, and the ability to handle both administrative tasks and financial responsibilities efficiently. The successful candidate will play a vital role in maintaining smooth operations within our office while ensuring accurate financial record-keeping.
Key Responsibilities:
- Greet visitors and assist with inquiries in a professional manner.
- Answer and direct phone calls to appropriate personnel.
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Coordinate meetings and conferences, including scheduling, room setup, and catering arrangements.
- Assist in the preparation and distribution of correspondence, reports, and presentations.
- Maintain office supplies inventory by checking stock and ordering supplies as needed.
- Handle incoming and outgoing mail and packages.
- Assist with the organization of company events and special projects as required.
- Maintain confidentiality and discretion in handling sensitive information.
- Manage accounts payable and accounts receivable functions.
- Process invoices, expense reports, and reimbursements in a timely manner.
- Reconcile bank and credit card statements to ensure accuracy.
- Maintain accurate records of financial transactions using accounting software.
- Assist in payroll processing and employee expense management.
- Prepare financial reports, including balance sheets, income statements, and cash flow statements.
- Assist with budgeting, forecasting, and variance analysis.
- Support year-end financial close.
- Ensure compliance with relevant financial regulations and internal policies.
Key qualifications:
- QuickBooks Online and/or desktop experience, QuickBooks ProAdvisor Certification a plus: Knowledge of administrative and clerical procedures and systems such as Microsoft Office (Word and Excel), Google Business Suite, managing files and records, designing forms, and other office procedures and terminology. Proven experience in both administrative support and bookkeeping roles.

- Discretion and confidentiality when handling sensitive financial information.
- Knowledge of basic accounting principles and procedures.
- Accounting degree or additional education in business administration or related field preferred.
- Certification in bookkeeping or accounting is a plus.

- Timekeeping - On a daily basis, all time spent will be recorded by client name and task in the Firms QBO time system.
