The Billing Team Lead is responsible for the Billing Team supporting middle/back office operations, with a focus on billing processes and procedures. They are the subject matter experts in fee calculations and account debiting and advisor payout processes. This individual will be working in the corporate home office but will be indirectly supporting 130+ Financial Advisors across the country. This position is a critical connection point in the relationships between the Advisors, the home office advisory staff, and Firm Leadership.

The Billing Team Lead is responsible for the Billing Team supporting middle/back office operations, with a focus on billing processes and procedures. They are the subject matter experts in fee calculations and account debiting and advisor payout processes. This individual will be working in the corporate home office but will be indirectly supporting 130+ Financial Advisors across the country. This position is a critical connection point in the relationships between the Advisors, the home office advisory staff, and Firm Leadership.
Essential responsibilities and tasks of the Billing Team Lead are:
- Primary ownership of fee billing and advisor payout processes; ensuring that all members of the billing team are following proper procedures and hitting key deadlines
- Experience building strong Standard Operating Procedures and related documentation.
- Track record of identification and implementation of continuous process improvement.
- Coordinate with Accounting and Finance Team for reconciliation of third party fee payments made to LFAS
- Escalation route for billing inquiries. Support Team’s ability to research and resolve advisory fee billing problems with a sense of urgency providing Advisors with responses within 24 hrs.
- Provide support for Financial Advisors by over-communicating best practices
- Primary billing point of contact for various subadvisor and TAMP relationships
- Generation of fee statements and invoices specific to advisory fee payments and financial planning record keeping
- Generate and perform quality control checks on bi-monthly and quarterly payout reports for 150+ Financial Advisors with high attention to detail while meeting strict deadlines
- Compile, categorize, audit and/or verify account data utilizing Orion, Salesforce, multiple Custodians, and Laserfiche.
- Track closed accounts and any necessary fee refunds
- Collaborate with Team members and Management on opportunities for additional advisor training, operational efficiencies and/or new process development
- Account Database data entry and maintenance (Orion & Salesforce)
- Team ownership of Quarter-End audits and reporting (Orion)
- Establish and maintain interpersonal relationships
- Service Level Standards for the position are expected to be met and exceeded
- Participate in Advisory Services training, webinars, conference calls, etc
- Additional duties as required
- 3-5 years financial services industry experience (required)
- 1-2 years experience with RIA fee billing and/or advisor payout reconciliation
- Excellent knowledge and use of Microsoft Excel (Pivot table, Power Query, Conditional Formatting, Advanced Formulas like Vlookup/Xlookup, and Macros)
- Current or prior Series 7, 66, 63 and/or 65 registration (preferred)
- General computer and software knowledge:
- Microsoft Office Suite-expert (required)
- Salesforce-advanced (preferred)
- Black Diamond-advanced (preferred)
- Raymond James, TD Veo, and/or Fidelity Wealthscape (preferred)
- Meticulous attention to detail with excellent organizational and follow-up skills
- Proven track record of providing exceptional proactive customer service; can communicate with confidence and professionalism in verbal and written interactions
- Be extremely comfortable and passionate about dealing with numbers and processing financial information accurately, specifically advisory fee payments
- Possesses critical thinking, analytical and problem-solving skills
- Reliable and Accountable; follows through on commitments start-to-finish
- Has strong time-management skills; able to prioritize tasks
- Can take direction but is also a self-starter and motivated
- Enjoys working in a fast-paced, team-oriented environment
- The ability to maintain accuracy and focus when working with large amounts of data
