Job Summary:
The Billing Specialist plays a key role in the Accounting Department helping to contribute to the company's financial strength by analyzing, managing and interacting with all the open accounts to reconcile invoices. The Billing Specialist drives data entry to optimize the cloud-based software system ensuring accurate and timely processing for receivables and recording of financial information. The position plays a vital part in enhancing the company's infrastructure and has the capability to contribute to the strength and sustainable growth of Fire Safety First.
Essential Duties and Responsibilities:
- Inputs and keeps accurate records of the company's accounts and outstanding balances
- Reviews and monitors all incoming invoices to ensure proper recording of financial data.
- Receives and verifies billing information and meets payment deadlines following standard operating procedures, including the effective use of online systems (SAGE) and customer portals, etc.
- Uses effectively Customer Relationship Manager system CRM and (Enterprise Resource Planning) ERP systems to send invoices and update accounts.
- Notifies customers of upcoming or missed payment deadlines
- Interacts with customers to answer billing questions and issues.
- Maintains accurate records of credit transactions, deposits, and payments; answers account questions for customers and sends letters regarding account status.
- Receives incoming mail (electronic and hard) for invoices and expenses to process payments and expense reports.
- Conducts the filing of all vendor data and year-end purging.
- Performs reconciliations.
- Prepares audits, meetings, spreadsheets, and special projects as needed or as directed by management.
- Achieves goals set forth by supervisor regarding error-free work, transactions, processes, and compliance requirements.
- Performs other tasks or projects as assigned by supervisor.
- Contributes to team effort by accomplishing and achieving results.
- Identifies change in processes and the optimal application to promote efficiency.
Experience/Training/Education:
- Bachelor's degree (B.A.) or equivalent in business, finance, accounting, or similar field
- 3-5+ years of relevant (AR) accounting experience

- Full-time, Monday through Friday
