Billing Manager
JOB SUMMARY
The primary role of the Billing Manager is to participate with the Project Accountants in supporting our project teams with ensuring financially successful projects following best practices and outlined workflow processes.
ESSENTIAL FUNCTIONS
- Reviews client & consultant contract/MSA to understand terms of projects & scope.
- Oversight of project set up, workorder/PO approvals, sub-consultant coordination, unbilled contracted work, and system accuracy for all aspects of project accounting.
- Directs involvement with project accountant team to ensure best practices with invoicing and consultant billing and engagement.
- Generates monthly reporting and follow-up for project trends including managing WIP, aging, outstanding consultant invoices, as well as outstanding work orders/PO’s & recognized revenue.
- Supports project accountants by enhancing workflows and best practices, and ensuring deadlines are met.
- Communicates with project team regarding financial success of projects working with various levels of leadership.
- Participates in regular review of projects ensuring financial success with accurately and timely reporting, investigating any variances and submitting to leadership for review.
- Monitors outstanding receivables and assists with collection efforts.
- Understands and directs pay-when-paid practice in coordination with project contract terms on consultant invoices, with supported GL entry and invoice coding.
- Analytical mindset to project financial management, contracted back-log, variances, trends, and project reporting.
- Strategic in revenue recognition and unbilled transactions to ensure accurate project reporting
- Hands-on support to Project Accountant team through peak workload, project transitions, client reporting, and various project accounting needs.
- Reviews and enhances workflow processes and communication strategies for project team (internally and externally).
- Understands project milestones & deliverables to support project team in reporting, go/no.
- Works with Project Accountants to develop and enhance project team training and tools (dashboards/alerts/Protrac)
- Assists other accounting staff with projects as needed including billing, reporting, filing, etc.
- Other tasks as assigned by supervisor will be performed to address unexpected situations or needs that may arise.
ESSENTIAL QUALIFICATIONS
Education:
- Bachelor’s degree in Accounting or Business. Relevant experience may be substituted for degree.
Experience:
- Experience with accrual accounting practices as well as project accounting/billing.
- Prefer 7+ years’ experience with professional service industry/architecture/engineering firm.
Knowledge and Skills:
- Must have excellent communication and writing skills with “roll up your sleeves driver” mentality.
- Must be able to handle multiple tasks concurrently, be detail oriented and well organized.
- Ability to meet critical deadlines and adhere to workflow schedules with minimal supervision.
- Working knowledge of Deltek (Ajera) and/or Unanet A/E or similar project accounting software.
- Provides guidance on project business/accounting practices and controls/leads supported efforts.
- Knowledge of project management processes and best practices in architecture environment.
- Accounting fundamentals with technical competency and process improvement focused.
- Advanced computer skills including Microsoft Suite–report writing/conditioning/exporting data
- Detail-oriented with a commitment to confidentiality and sensitivity of information.
- Strong problem solving and presentation skills.
- Must be able to work well with all levels of teammates in a team-orientated, fast paced environment.
Working Conditions:
- Work is performed primarily in an office setting.
- Most work is performed on a computer while seated.
- Ability to lift up to 15 lbs.
