Billing Coordinator-Procurement, Van Nuys, CA - Vista America

The Billing Coordinator-Procurement position isbased in Van Nuys, California. This position is responsible forassisting the Parts Operation and Finance with the overall preservation and enhancement of departmental tasks. This position will serve as a liaison between the maintenance and finance groups related to work order management, parts procurement, billing, accounts receivable disputes, data analysis and month end close. The Billing Coordinator-Procurement will assist with streamlining companywideprocesses to improve overall efficiency and productivity. This position will also help with the office's administrative needs.

Your Responsibilities 

• Billing and finance functions of retail maintenance work orders and parts.  
• Research and resolve part related issues collaborating with Procurement and Operations. 
• Identify and resolve invoice disputes with customers in a timely manner. 
• Ensure compliance with established accounting procedures related to daily operations.  
• Collaborate with Corporate Finance to ensure invoices and purchase orders are accurate and up to date. 
• Process and apply expense reports to corresponding work orders for accurate billing.  
• Respond quickly, professionally, and accurately to all internal and external correspondence. 
• Assist Parts and Finance Managers with regular review of routine departmental procedures seeking improvement. 
• Provide administrative and clerical support to ensure efficient operation of maintenance location, including spreadsheet development and signage request coordination.  
• Coordinate purchase and maintain basic stock of office supplies and equipment. 

Required skills, experience, and education 

• High School Diploma required 

• 2-5 years of experience managing billing functions, preferably in a manufacturing or aerospace industry.  
• Strong attention to detail and accuracy in data entry and financial transactions.  
• Superior analytical, problem solving, and reconciliation skills. 
• Advanced organizational skills and time management skills. 
• Ability to work independently and prioritize daily tasks.    
• Must have proficiency with Microsoft Office Applications (Excel, Word, Outlook) and aptitude to learn customized company software programs 
• Must be detail oriented and able to work productively, independently or within a team 
• Strong organizational and communication (verbal and written) skills with the ability to self-motivate, handle multiple tasks, meet established targets

The salary range for this position is $32 to $35 per hour.
