- Provide broad range administrative support to the operations of a specific department, focusing on readiness and response functions
- Assist in the deployment of human resources and recruitment of staff and personnel
- Maintain records related to staff and personnel, including contract extensions, performance evaluations, and job description reviews
- Support coordination of administrative support from other units to ensure effective responses to emergency-related requests
- Support preparedness and readiness activities, including managing list of experts, and providing support for training and workshops
- Update budget and financial information in the management information system
- Initiate and/or approve HR-related actions in the management information system for staff and contingent workers
- Help make travel arrangements for advisors including airline tickets, hotel reservations, and security clearance
- Create requisitions and purchase orders in system and process payments to suppliers
- Participate in implementing disaster and emergency response operations
- Review outgoing correspondence for style, punctuation, and grammar
- Regular, dependable attendance and consistent satisfactory or above job performance
- Other related duties, as assigned
- Fluent in English and Spanish, written and orally, with ability to write documents in both languages. (Required)
- Five years in general office work experience (Highly preferred)
- IT Skills: Demonstrated ability to use computer and software programs such as Microsoft Office Word, Excel, PowerPoint, SharePoint, and Outlook. (Required)
- Ability to prepare working translations (Required)
- Familiarity with videoconference technologies and platforms. (Preferred)
- This position routinely utilizes standard office equipment such as laptops, computers, phones, photocopiers, and filing cabinets, in a home office as well as an in-person office environment.
