Education:
- High school diploma or GED required.
- Associate or Bachelor's degree, preferred.
- Bilingual in Spanish & English required
- Demonstrated ability to manage multiple phone lines and handle multiple projects concurrently.
- Effective verbal and written communication skills are essential.
- Confirmed proficiency in utilizing Microsoft Software Suite, and overall computer literacy.
- Greets and assists visitors in a professional and friendly manner, handling inquiries, requests, and complaints efficiently.
- Manage incoming calls by promptly answering them, addressing caller inquiries, providing relevant information, and transferring calls to appropriate individuals, departments, or programs as needed. Check and manage voicemail messages.
- Facilitate mail distribution for the Agency.
- Manage the organization of the live file system, handling filing tasks within the administrative office and, distributing incoming facsimiles.
- Maintain cleanliness and organization in the administrative office and ensure adequate supplies are available.
- Create and maintain Affirmative Action files and statistics.
- Maintain employee bulletin board.
- Become familiar with all sites and needs of Agency as they apply to the position.
- Attend and actively contribute to staff and training meetings.
- Prepare minutes of meetings as required by program needs.
- Offer support with special projects, as needed.
- Log checks received via mail/delivery and create deposits.
- Performs clerical and administrative duties for program staff including filing, typing, composing, drafting and preparing correspondence/memorandums, and compiling a variety of reports.
- Class One Fingerprint Clearance Card
- Valid Driver's License, preferred.
- Valid Auto Liability Insurance, preferred.
- Clear 39-Month Motor Vehicle Report, preferred.
- Must Be at Least 21 Years of Age
