This position can be based in any of the following offices: San Diego, Downtown Los Angeles, Dallas, Houston, or Chicago. There is only one opening.
This position will accommodate the schedule of 8:30 AM to 5:00 PM/9:00 AM to 5:30 PM (Pacific Time) for the California offices or 10:00 AM to 6:30 PM (Central Time) in the Dallas, Houston, and Chicago offices.
Primary Responsibilities and Expectations

The Benefits Coordinator reports to the Benefits Manager, and will be primarily responsible for benefit administration for all partners and employees of the firm. The Benefits Coordinator is an integral part of the HR team and is responsible for making changes in our HRIS and Benefits Administration systems on a frequent basis as well as auditing the changes to ensure system accuracy. The Benefits coordinator will also assist and Wellness programs at the Firm.. This role with have frequent interaction with Payroll as well as many other internal departments.
Primary Responsibilities and Expectations
Responsibilities:
- Act as a subject matter expert to Partners, Attorneys and Staff by explaining health benefits programs, answering advanced questions, escalating and resolving complex issues to resolution, and assisting in general understanding of health and wellness benefits.
- Provide recommendations to Benefits Manager and other team leaders for possible new benefit and wellness program offerings as well as adjustments to current plans by evaluating and comparing existing benefits with those of peer law firms.
- Responsible for day to day administration of the Firm’s wellness programs.
- Work with Benefits Manager to gather all required data for all Federal, State, and Municipal compliance reporting requirements, including ACA/1094-1095.
- Track accounts payables for benefit vendors for promptness and accuracy.
- Reconcile internal and external records to ensure financial accuracy and member coverage.
- Serve as primary contact for all Qualified Life Events, including carrier coordination, benefit premiums and appropriate communications, escalating issues to senior members of the department where appropriate.
- Primary support for auditing the integrity of benefits data and all carrier EDI files.
- Process retroactive changes for payroll deductions and earnings and reconcile with the benefits administration systems.
- Assists in recommending and reviewing materials, websites, booklets and all other benefits communications.
- Leading and/or assisting with benefit presentations and virtual educational sessions to highlight existing or new benefits
- Participate in special projects firmwide across the broader Talent Management/Diversity & Inclusion team as requested.

- Minimum of 2 years relevant experience in HR or Benefits role, or equivalent experience.
- Excellent verbal and written communication skills.
- Understanding of payroll practices & benefit deductions.
- Highly organized, multi-tasker with great organizational and time management skills; Excellent analytical, troubleshooting, organization, and planning skills
- Ability to maintain strict confidentiality and develop the trust and integrity needed to handle sensitive and confidential situations and documentation for employees and their dependents.
- Comfortable and willing to take initiative and work independently when needed, exercising discretion and sound judgement.
- Strong attention to detail in all work product and communication.
- Works best under pressure with tight deadlines in a fast paced environment.
- Ability to think and work both independently and collaboratively as part of a team.
Education
Preferred: Bachelor’s Degree
Computer/Software Knowledge
Required: Extremely strong skills using Microsoft Suite, including the ability to create and analyze formula-driven worksheets in Excel
Preferred: Experience using HRIS software (Kronos, UltiPro, including Cognos & PlanSource is preferred, but not required)
Work Environment
Preferred: Bachelor’s Degree

Work Environment
- The current Firm policy is hybrid–working in the office a minimum of 4 days per week and working from home the rest of the week (subject to change).
- Overtime will be required on occasion as the workload requires.
Travel Requirements
Less than 10%. Travel to other Sheppard Mullin U.S. offices when required.
Work Hours
This position will accommodate the schedule of 8:30 AM to 5:00 PM/9:00 AM to 5:30 PM (Pacific Time) for the California offices or 10:00 AM to 6:30 PM (Central Time) in the Dallas, Houston, and Chicago offices.
California: The pay range for this position is $31.00 to $41.00 per hour.
