About the Job
Our client, a prominent insurance product distributor, is seeking a dynamic and highly organized Executive Assistant & Office Manager to support leadership and manage the day-to-day operations of a fast-paced office. This role combines executive assistance with office management responsibilities, ensuring the office runs smoothly while supporting multiple leaders across administrative tasks and strategic initiatives.
Key Responsibilities:
- Manage multiple calendars, scheduling, travel, expenses, meetings, and events for leadership.
- Oversee the organization and maintenance of the office, ensuring a clean, efficient, and well-stocked workspace.
- Coordinate technology and vendor services, ensuring smooth meetings and office operations.
- Serve as the primary point of contact for building management, facilities-related communication, and maintenance requests.
- Manage office supplies, security access, and conference room preparation.
- Support leadership by assisting with event planning, guest relations, meeting preparation, and internal communications.
- Take ownership of onboarding processes, internal directories, and content management for internal systems.
- Collaborate with leadership to implement improvements and streamline administrative processes.
Qualifications:
- 3+ years of experience in an administrative or office management role.
- Strong ability to manage multiple priorities, projects, and vendors in a fast-paced environment.
- Proficient in MS Excel, Word, Outlook, and Microsoft Team Sites (OneNote, PowerPoint).
- Excellent communication skills, both written and verbal, with a high degree of professionalism and tact.
- Ability to work independently, think critically, and collaborate with team members.
- High level of integrity and attention to detail.
- Bachelor's degree preferred.
