Bankruptcy Legal Administrative Assistant
FLSA: Non-Exempt
Reports To: Office Administrator
POSITION SUMMARY
Provides high-level administrative support to debtor bankruptcy team in Houston. Maintains positive contact with attorneys and support staff and observes confidentiality of client, personnel and firm matters.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Utilizes MS Word (using styles for formatting), Adobe Acrobat Professional, pdfDocs and a familiarity with MS Excel, MS Powerpoint and Time Entry.
- Proficiency with document management systems, such as iManage.
- Creates, scans and profiles documents and correspondence in appropriate document management system.
- Coordinates and schedules travel, meetings, and appointments; assists with expense reimbursements.
- Monitor status of cases, including acquisition of court dockets, keeping attorney apprised of recent developments.
- Compile and organize all case documents to enable locating any document at a moment’s notice.
- Obtain bankruptcy documents from local bankruptcy court in addition to courts in other districts.
- Arrange for filing and service of pleadings.
- Prepare service lists, updating same when applicable.
- Docketing of deadlines associated with a file through the appropriate calendaring system.
- Performs other administrative and secretarial duties as requested.
REQUIRED SKILLS & ABILITIES
- Minimum 2 years’ experience, 3-5 years preferred, in order to gain an understanding of law office policies and procedures.
- Familiarity with Federal courts and bankruptcy filing procedures.
- Proficiency in electronically filing documents in CM/ECF.
- Excellent organizational and communication skills, ability to work independently and as a team member, prioritizing effectively, attention to detail, accuracy, problem solving, detailed proofreading, and editing are essential for success in this position.
- Knowledge of legal terminology, legal documents, court system and e-filing.
- Interpersonal skills necessary to communicate in person, by e-mail and telephone, and follow instructions effectively from a diverse group of attorneys and staff to provide information with courtesy and tact.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Due to the time-sensitive nature of the work, regular full-time attendance, including being available to work unscheduled overtime hours, is an essential function of the position.
