GENERAL DESCRIPTION:  


Elevate your legal career and find a healthy work-life balance by joining the Wyoming Office of the Attorney General.  We are presently seeking highly motivated, organized, and professional applicants for an Office Support Specialist to assist attorneys in the daily clerical and administrative maintenance of the Contracts Unit of the Civil Division.  Duties include the compilation, organization, and maintenance of documents related to the Contracts Unit; processing contracts using Cobblestone for all state agencies, including in-processing, printing, organizing, scanning, out-processing, and linking to the database; run queries; compile information for reports summarizing the status of open and ongoing contracts; and assist in case management. Perform day-to-day operations for the office including being the point of contact for administrative help; filing system to ensure accurate/current information; conduct research related to special projects; greet visitors; direct phone calls; process mail; schedule and coordinate meetings for the Unit. This position will also perform other duties as assigned to meet the goals and objectives of the Attorney General's Office.

• Research contract-related questions as requested by Contracts Unit attorneys.
• Assist state agencies with the contract approval process through Cobblestone.
• Establish new agency accounts.
• Maintain agency accounts and assist agency users with tech support on basic Cobblestone issues.
• Track and follow up on outstanding contracts, revised contracts, and contracts pending with the OCIO/Enterprise Technology Services.
• Create monthly reports on contracts.
• Oversee and coordinate document production; compile information necessary for reports and case development.
• Prepare written and verbal correspondence with involved parties, attorneys, and citizens.
• Train and back-up other legal assistants and new legal assistant positions.
• Assist in the direction of workflow to others.
• Act as the first-line receptionist for the Contracts Unit.
• Sort and distribute incoming mail for the Civil Division.
• Obtain and set up audio-visual equipment for unit meetings and Cobblestone training.
• Conduct Cobblestone training.
• Perform other duties as assigned.
