General Responsibilities:
Provide support to program regarding collecting client-facing documentation, assisting in copy editing clinical documents, following up on non-converted staff appointments, assisting in billing audits, assisting in program growth.
Essential Functions and Responsibilities:
- Follow all policies and procedures set forth by the company, Medicaid, and CMOs
- Review and copy editing of authorization submission documentation
- Weekly review non-converted billing & staff follow ups
- Assist with monthly billing audits
- Maintain organized spreadsheet(s) containing document expiration date(s) and work with BCBA/families to obtain updated documents
- Communicate at least weekly with program administrator(s)
- Communicate with clinical staff on upcoming authorization expiration dates
- Coordinate authorization re-submission with clinical staff
- Bi-monthly review of payor eligibility status
- Establish and maintain positive relationships with individuals, families, guardians, community stakeholders, Medicaid CMOs, and other payor sources
- Collect client documents (e.g., consents, treatment plans, evaluations, etc.)
- Records work in accordance with company policies
- Participate in short- and long-term planning process to ensure continued quality and financial success
- Report any suspected abuse, neglect or exploitation immediately to supervisor or department head
- Comply with all standards to assure the health and safety of all individuals.
- Report to work as scheduled
- Other duties as assigned.
- High school diploma required; associate or bachelor's degree preferred
- Medical billing, medical authorizations, communication, behavior, or related field preferred
- Experience effectively managing an outpatient behavioral health or medical practice
- Strong customer service skills to both internal and external customers
- Hold a valid driver’s license
- Maintain auto insurance
- Travel up to 25%
- Required Knowledge:
- Knowledge of Medicaid and other insurance billing
- Knowledge of health care privacy and confidentiality rules
- Knowledge of standard health care business practices
- Knowledge of person-centered care and support for individuals with intellectual/developmental disabilities.
- Knowledge of best practices in the field of intellectual/developmental disabilities
- Ability and skill to use technology tools in the daily performance of duties
- Must possess & demonstrate critical thinking skills
- Skillful in use of electronic medical records systems, computers & general office equipment
- Skillful in working with people from diverse educational and cultural backgrounds
- Skillful in interpersonal communication needed to advocate for individuals, communicate with family members, healthcare professionals, support coordinators and others.
- Ability to maintain allocated budget.
- Ability to facilitate a positive atmosphere promoting holistic health, wellness, and team cooperation.
Working Conditions:
- Employee is frequently required to walk, sit, stand or kneel; and occasionally required to climb, balance and stoop.
- Employee must occasionally lift and/or move up to 25 pounds or more.
- Lighting and temperature are adequate.
- Employee must be able to travel to various sites when necessary to complete marketing and outreach activities.
